Legal Secretary - Intellectual Property - Dallas, TX (Hybrid)
We are working with a leading international law firm to add an experienced Legal Secretary to support its Intellectual Property team in Dallas.

Responsibilities:
· Provide full administrative and document support to attorneys and paralegals within the IP practice
· Prepare and format patent prosecution documents including applications, amendments, office action responses, and filings
· Manage USPTO correspondence, filings, and reporting to clients
· Monitor and track prosecution deadlines, maintenance fees, and annuity renewals
· Maintain and organize case files, records, and databases
· Draft, edit, and proofread legal correspondence and documentation
· Coordinate calendars, meetings, and travel arrangements
· Handle incoming and outgoing correspondence, including client communications and filings
· Assist with billing processes including time entry and proforma review
· Process expense reports and reimbursements (Chrome River)
· Coordinate copying, scanning, and document production needs
· Support general administrative functions and special projects as needed
Qualifications:
· No less than 3 years legal secretary experience in a law firm or professional services environment
· Strong familiarity with patent prosecution processes and USPTO procedures
· Working knowledge of legal terminology, filings, and document preparation
· Experience with time entry, billing, and electronic invoicing
· Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint)
· Experience with legal software systems such as NBI, Elite, Intapp Time, or similar preferred
· Strong organizational, multitasking, and prioritization skills
· Excellent written and verbal communication skills
· High attention to detail and ability to proofread effectively
· Professional, reliable, and able to maintain strict confidentiality

· Location: Dallas, TX (hybrid, at least four days in office, one day remote)
· Schedule: Full-time, non-exempt
