JOB SUMMARY
The Senior Applications Analyst, under the direction of the Enterprise Applications and Engineering Manager, will serve as the senior product specialist for the firm’s legal application set. Collaborating with other IT peers and vendors, this individual will define, configure, and work to implement the user experience as it relates to the end-user computing environment. This role will be a member of the firm-wide Enterprise Applications team serving as the go-to subject matter expert for legal applications that are used by the firm daily. The Sr. Applications Analyst will be responsible for maintaining the application portfolio for upgrades, configurations, and documentation.
PRINCIPAL DUTIES AND RESPONSIBILITIES*
- Apply systems analysis techniques and procedures including consultation with users and leadership in formulating system requirements. Including, but not limited to, researching current or new technologies that address established requirements, advising users and management on available options, identifying and reporting on the implications of installing new or modifying current systems or configurations, and performing project management of application rollout projects.
- Design the user experience for the firm’s end-user computing environment. Including, but not limited to, Windows 11, Microsoft Office 365, Cloud iManage, iManage Security Policy Manager (SPM), Litera application suite (Forte, Metadact, Compare, DocXtools, Numbering, CAM, etc.) or similar products, Adobe Product Suite, Kofax Power PDF, and other legal applications.
- Expertise in managing and supporting Cloud iManage environment including the following areas:
- Managing users, groups and roles
- Setup, design and configuration of iManage workspaces using Litera CAM or a similar tool
- iManage Work 10 client configuration and deployment
- Managing document and workspace imports/exports, legal holds, ethical walls, and Threat Manager
- Processing of Legal Holds, Document Imports and Exports.
- Expert knowledge of Security Policy Manager (SPM) and specifically setting up and managing:
Collections, Cases, Opposing Team Sets, Holds, Notifications
- Setup and management of client side iManage configuration of 3rd party integrations like Link2DMS, Adobe Acrobat and Microsoft 365 Apps.
- Leveraging PowerShell and iManage REST API to perform advanced reporting and bulk administrative tasks on documents and workspaces.
- Advanced knowledge of Citrix Virtual Desktop in a non-persistent environment including monthly patching and application updates as required.
- Collaborate with other IT staff, lead the planning, testing, and rollout of software upgrades as well as new system implementations within a Microsoft Window environment.
- Perform configuration, testing and management of firm applications. Provide oversight and backup support for regular maintenance of applications. Ensure preventative maintenance activities are regularly planned and implemented.
- Develop and maintain detailed application test plans for both engineering level and support level testing when required.
- Understand, collect and present technical data to business stakeholders to help drive business decisions.
- Act as point-of-contact for external vendors as it relates to support escalations and project initiatives (rollouts and upgrades)
- Contribute to and maintain technology support knowledgebase where appropriate.
- Provides escalated software support and problem-resolution to computer system users. This will include working closely with Technical Support (Help Desk) personnel to research, resolve, and document problems and their resolution
- Performs routine analysis, reviews existing processes/procedures/technologies and provide suggestions to streamline and optimize the environment
- Create detailed technical documentation for all implemented applications and system rollouts when assigned as Technical Lead or assisting a Technical Lead.
- Completes special projects on various technologies as needed.
MINIMUM QUALIFICATIONS
Knowledge/Skills/Abilities:
- Expert knowledge of the Microsoft 365 Apps suite, customization and integration options
- Expert knowledge of legal applications and customization tactics and how they integrate into the legal desktop environment
- Expert knowledge of legal applications legal application troubleshooting
- Expert knowledge of Cloud iManage, Cloud iManage user, group and workspace management, and iManage integrations to Microsoft 365 Apps
- Expert knowledge of iManage Security Policy Manager (SPM), including setting up and managing restricted Collections, Cases, Opposing Team Sets and Holds. Manage and advise on Workspace lockdown process and notification workflows.
- Excellent interpersonal skills including telephone skills, verbal and written communication skills, active listening and customer care.
- Demonstrated ability to effectively manage time dedicated to task and project work. Able to provide action item summaries after attending meetings, consistently updating task lists and providing reasonable timelines with proper expectations.
- Communicates effectively in person and in writing, with the ability to translate technical concepts to non-technical people
- Ability to provide project management and develop and manage deliverables and timeline. Communicate clearly and work effectively with internal clients, firm leadership, peer team members, and outside vendors
- Ability to provide mentorship and technical expertise for junior level analysts.
- Strong troubleshooting knowledge with skills in decision making and strategic thinking
- Organized and consistently executes tasks effectively and efficiently
Education:
- Bachelor’s degree required or equivalent experience in lieu of degree
- Relevant vendor certifications, such as iManage Cloud Administrator, Microsoft Office Specialist, preferred
Experience:
- 5+ years of supporting and managing a broad portfolio of legal applications
- 5+ years of designing application configurations, upgrade processes, and creating supporting technical documentation
- 5+ years of supporting internal escalation and troubleshooting of applications
- Law firm experience required
- Previous experience mentoring and providing technical and operational guidance for junior level analysts required
