The ideal candidate will be the first point of contact for clients and visitors and will assist our attorneys with administrative and clerical tasks
Receptionist Responsibilities:
- Answer and direct phone calls as appropriate.
- Greet and welcome clients, visitors, and guests in a professional and courteous manner, ensuring security protocols are followed for client and visitor access.
- Reserve conference rooms, meeting rooms and visitor offices upon request.
- Order lunch for office and client meetings.
- Assist with scheduling office events including birthday celebrations, baby showers, happy hours, farewell gatherings.
- Serve as backup to Office Services, including setup and breakdown of conference rooms (i.e., lunches, beverages, office supplies), distribute of incoming mail to the appropriate individuals; process outgoing mail and packages.
- Submit work orders to building management for facility-related issues requiring attention, such as temperature control, lighting, and other maintenance needs.
- Track Continuing Legal Education (CLE) credits for attorneys.
- Assist with entering time in the firm’s billing system, process expense reports and reimbursements for the attorneys.
- Notarize documents upon request.
- Carry out responsibilities with professionalism, respect for others, in accordance with firm policies and applicable laws.
- Perform other duties as assigned.
Supervisory Responsibilities:
This job does not have direct supervisory responsibilities.
