Legal Administrative Assistant – Civil Litigation & Regulatory Law

ProspectBlue is partnering with a Richmond, Virginia law firm to identify an experienced and highly organized Legal Administrative Assistant (LAA). This in-office role provides comprehensive support to multiple attorneys whose practices focus on civil litigation and related matters, including regulatory compliance, administrative law proceedings, government investigations, civil appeals, and complex land use disputes.

This opportunity is well suited for a legal support professional who excels in a fast-paced environment, demonstrates strong judgment and attention to detail, and can effectively manage multiple priorities while maintaining a high degree of professionalism and confidentiality. Candidates should have prior law firm experience and a proven ability to support several attorneys simultaneously in a demanding practice setting.

Essential Responsibilities

  • Draft, edit, proofread, and finalize a variety of legal documents, including pleadings, correspondence, discovery responses, regulatory filings, administrative submissions, and related materials.
  • Coordinate and process electronic filings in state and federal courts, as well as submissions to administrative agencies and regulatory authorities.
  • Maintain attorney calendars, schedule meetings and conference calls, and monitor important litigation, regulatory, and administrative deadlines.
  • Prepare and process expense reports, attorney time entries, travel arrangements, and monthly billing activities.
  • Organize and maintain physical and electronic files, case records, and document management systems.
  • Assist with the preparation of exhibits, hearing and trial materials, deposition documents, binders, land use applications, and other case-related resources.
  • Provide administrative support on matters involving civil litigation, civil appeals, regulatory compliance, administrative proceedings, government investigations, and contested land use issues.
  • Serve as a professional liaison with clients, courts, government agencies, opposing counsel, vendors, and internal staff.
  • Support practice management and day-to-day administrative functions to promote efficiency and responsiveness.
  • Anticipate attorney and client needs, proactively addressing priorities and helping manage competing demands.

Qualifications

  • Significant experience as a Legal Administrative Assistant, Legal Secretary, or Legal Practice Assistant required; three to five years of law firm experience preferred.
  • Prior litigation support experience and proficiency with electronic court filing systems are required.
  • Experience supporting regulatory compliance, administrative law matters, government investigations, and/or land use practices is preferred.
  • Strong understanding of court procedures, legal terminology, and litigation document preparation.
  • Advanced proficiency with Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint.
  • Excellent proofreading, formatting, organizational, and time-management skills.
  • Ability to manage multiple deadlines and priorities while supporting several attorneys in a fast-paced legal environment.
  • Strong written and verbal communication skills with a client-focused and professional approach.
  • Exceptional attention to detail, sound judgment, discretion, and dependability.
  • Ability to work independently while contributing effectively within a collaborative team environment.
  • Experience with document management systems, legal billing software, and law firm administrative processes is preferred.
