Job Description

Qualifications:
• Experience as a legal secretary or assistant or paralegal
• Bachelor's degree preferred

Key Responsibilities:
• Dictation & Transcription: Accurately transcribe legal documents and correspondence from dictation, ensuring proper formatting, grammar, and legal terminology.
• Commercial Construction Expertise: Assist attorneys with matters related to commercial construction contracts, disputes, claims, and project management documentation.
• Litigation Support: Provide administrative support in the preparation of litigation cases, including drafting pleadings, motions, discovery responses, and trial preparation.
• Document Management: Maintain and organize case files, ensuring documents are properly stored, indexed, and easy to retrieve.
• Billing & Accounts: Assist with billing tasks, including entering billable hours, preparing client invoices, and tracking payment statuses. Collaborate with attorneys to ensure accurate and timely billing processes.
• Client Communication: Communicate with clients regarding case status, documentation requests, and billing inquiries. Maintain a professional and client-oriented demeanor.
• Calendar & Scheduling: Schedule appointments, hearings, meetings, and depositions for attorneys. Maintain an accurate calendar to ensure all deadlines are met.
• General Legal Administration: Handle general office duties such as filing, faxing, photocopying, and managing office supplies.

Required Qualifications:
• 3+ years of experience as a legal assistant, paralegal, or in a similar role, with a focus on commercial construction and litigation.
• Strong knowledge of legal terminology, commercial construction contracts, and litigation procedures.
• Proficient in dictation and transcription software, with a high level of accuracy in typing.
• Experience with billing and time entry in legal software systems (e.g., Clio, TimeMatters, or similar).
• Excellent communication skills, both written and verbal, with an ability to effectively interact with clients, attorneys, and other team members.
• Highly organized with strong attention to detail and the ability to handle multiple tasks simultaneously.
• Ability to work under pressure and meet deadlines in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other legal software tools.
• Associate’s degree or equivalent work experience; Paralegal certification is a plus.

Preferred Qualifications:

• Experience with commercial construction litigation and contracts.
• Knowledge of billing best practices in a legal environment.
• Familiarity with legal case management software and dictation tools.
