Event Coordination Specialist (12–18 Month Contract)
W2 only
3 days onsite 2 days remote
We’re seeking a highly organized Event Coordination Specialist to support conferences, virtual events, and operational planning. This role focuses on event logistics, Cvent support, vendor coordination, scheduling, and administrative project management.
What You’ll Do
- Coordinate logistics for events, conferences, and virtual programs
- Build and manage event registrations and pages in Cvent
- Track tasks, timelines, and deliverables using Smartsheet
- Manage calendars, scheduling, and documentation through Google Suite
- Communicate with vendors, process invoices, and track expenses
- Support event production needs (registration management, attendee lists, tech checks, follow-ups)
- Collaborate with internal teams to ensure smooth event execution
- Provide administrative support across event planning projects
What We’re Looking For
- Proven experience in event coordination, conferences, or meetings
- Hands-on experience with Cvent
- Strong proficiency with Smartsheet and Google Workspace (Docs, Sheets, Slides, Drive)
- Experience handling vendor invoicing and expense tracking
- Excellent communication, organization, and attention to detail
- Ability to manage multiple projects and deadlines simultaneously
- Professional, customer-focused, and comfortable supporting fast-moving event operations
