Job Summary

We are seeking a detail-oriented and compassionate FMLA Leaves Processor to administer employee leave requests in accordance with the Family and Medical Leave Act (FMLA) and other applicable leave policies. This role is responsible for ensuring regulatory compliance, delivering a high level of employee support, and maintaining accurate and confidential records. The ideal candidate demonstrates strong organizational skills, professionalism, and the ability to manage sensitive situations with discretion.

Key Responsibilities

  • Set up, process, and review FMLA leave requests, including eligibility determination, documentation review, and approval or denial notifications.

  • Communicate with employees and internal stakeholders to explain leave policies, procedures, and employee rights and responsibilities.

  • Coordinate with healthcare providers, employees, and management to obtain required medical certifications and updates.

  • Track leave timelines, monitor return-to-work dates, and conduct timely follow-ups as needed.

  • Maintain accurate, confidential leave records in compliance with organizational policies and legal requirements.

  • Stay current on federal FMLA regulations, applicable state leave laws, and internal policies to ensure ongoing compliance.

  • Respond to leave-related questions or issues in a timely, professional manner.

  • Prepare reports and metrics related to leave usage for HR leadership, as requested.

  • Provide support for additional HR-related functions, such as disability claims or workplace accommodations, as assigned.

Education

  • High school diploma or equivalent required

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred

Experience

  • 1–3 years of experience in human resources, leave administration, or a related role

  • Prior experience processing FMLA leaves is preferred

Skills

  • Strong knowledge of FMLA regulations and familiarity with state-specific leave laws

  • Excellent organizational and time-management skills with strong attention to detail

  • Proficiency in Microsoft Office applications (Excel, Word, Outlook) and HRIS platforms

  • Strong written and verbal communication skills with a service-oriented approach

  • Ability to manage confidential information with integrity and discretion
