Job Title: Administrative Assistant
Contract Length: 12+ Month contract

This role provides comprehensive administrative and operational support within a fast-paced, professional office environment. The Administrative Assistant will support internal teams and client-facing functions, ensuring smooth day-to-day operations and high-quality service delivery.

Key Responsibilities

  • Provide general office support, including:
    • Processing incoming and outgoing mail (checks, stock certificates, tax forms)
    • Scanning and document handling
  • Manage travel and expense coordination:
    • Book travel arrangements
    • Process expense reports for team members
  • Deliver administrative support to teams:
    • Maintain calendars and schedules
    • Answer and route phone calls
  • Coordinate and support office events:
    • Schedule and manage conference rooms
    • Order catering and supplies
    • Print and prepare materials
    • Coordinate interview schedules
    • Liaise with building services
    • Greet and assist visitors
  • Support client servicing efforts:
    • Assist internal teams with operational tasks
    • Maintain a strong focus on customer service and operational excellence

Required Qualifications

  • Proficiency in:
    • Microsoft Word
    • Excel
    • PowerPoint
    • Outlook
  • Minimum of 2 years of experience in a professional corporate environment
  • Strong:
    • Written and verbal communication skills
    • Organizational and multitasking abilities
  • Ability to work effectively in a:
    • Team-oriented environment
