The Legal Administrative Specialist provides administrative and operational support to the legal team by reviewing records requests, organizing documentation, and assisting with legal and compliance processes. This role ensures timely and accurate responses to legal inquiries while maintaining confidentiality and compliance with privacy regulations.
Minimum 5 years of administrative support experience
Experience in the insurance industry and/or legal environment preferred
Experience handling legal documentation, records management, or compliance-related tasks
Strong understanding of legal processes and documentation
Ability to analyze, interpret, and organize legal records
Excellent written and verbal communication skills
Exceptional attention to detail and analytical abilities
Strong organizational and time management skills
Ability to work independently and manage multiple priorities
Demonstrated ability to handle confidential and sensitive information with discretion
Effective problem-solving, judgment, and interpersonal skills
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Access, PowerPoint, Teams)
Experience with eDiscovery software
Strong computer literacy and familiarity with document management systems
Experience using WordPerfect preferred
Review and analyze records requests from third parties to determine validity and appropriate response.
Draft initial responses to legal inquiries under guidance from management.
Review, organize, redact, and produce documents in compliance with privacy laws and company policies.
Research internal systems and document repositories to locate relevant records.
Maintain case files, databases, and tracking tools to monitor legal matters and ensure timely responses.
Communicate with internal teams and external requestors to facilitate resolution of requests.
Assist with additional legal administrative and compliance support tasks as assigned.
