ProspectBlue has partnered with a bank in Richmond, VA and is seeking a Loan Assistant Team Lead.
This role leads a team of both on-site and remote Loan Assistants across a designated region. In collaboration with Corporate Learning, the position is responsible for delivering comprehensive, hands-on training covering systems, banking policies (credit, compliance, operations), and adherence to both State and Federal regulations. The position ensures Bankers receive high-quality administrative assistance to elevate the client experience. It also includes responsibility for equitable task distribution, ensuring all Loan Assistants are operating efficiently. Staying current on regulatory and procedural changes that affect loan documentation is key.
Serving in a hybrid leadership and support role, this individual may directly support Private Banking, Business Banking, Commercial and Middle Market Bankers, as well as Commercial Banking Executives and Market Presidents. This includes involvement in loan documentation preparation, disbursement processes, credit file upkeep, and coordinating loan closings—all with a strong emphasis on client service, issue resolution, and relationship management. Additional duties include supporting the Market President locally through reporting functions and event coordination, including commercial events and market sponsorships.
This position ensures accuracy and compliance in all loan and legal documentation, working to minimize institutional risk and ensure all lending activity aligns with regulatory and policy standards.
Key Responsibilities
Lead and manage a team of Loan Assistants, both local and remote, to provide exceptional client service and operational support to Private, Commercial, and Middle Market Bankers.
Deliver and oversee training on procedures, documentation requirements, loan servicing, and compliance, in partnership with Corporate Learning and other departments.
Collaborate with Operations and Treasury teams on training initiatives and special projects.
Monitor operational risk by reviewing in-process loans, exceptions, and delinquency reports to ensure regulatory and internal policy compliance.
Exercise sound judgment in resolving complex client and operational issues, escalating to the Market President when appropriate.
Allocate workflow across the team to promote maximum productivity.
Build strong partnerships with peer team leads to promote consistency and share best practices.
Serve as the main escalation point for service-related concerns from clients or internal teams.
Ensure all lending documentation follows internal policies and complies with all applicable regulations.
Conduct performance evaluations and collaborate with Bankers to monitor and enhance Assistant performance.
Provide concierge-level assistance to clients, facilitating seamless coordination across internal departments.
Organize and execute all regional Commercial and Middle Market events.
Act as community liaison for market sponsorships and manage associated budgets.
Provide direct administrative support to Bankers including document handling, correspondence, and scheduling.
Prepare and review loan closing packages to ensure timeliness and accuracy.
Coordinate closing logistics with external parties including attorneys, insurance agents, and clients.
Initiate title searches, appraisals, and certifications as needed.
Manage disbursement of loan funds in accordance with approval terms and documentation standards.
Conduct post-closing audits to ensure loan documentation is complete and systems are updated promptly.
Follow up with third parties to obtain any outstanding documents post-closing and maintain tracking systems for ongoing exceptions.
Set up new accounts and coordinate related account services.
Support cross-functional initiatives by liaising between Bankers, Treasury, Retail, and other internal teams.
Maintain compliance with evolving State and Federal regulations, as well as institutional procedures.
Provide backup coverage for other Loan Assistants when necessary.

Required Qualifications
Education: High school diploma required; college coursework or degree in banking, finance, or a related field preferred.
Experience: Minimum of five years supporting Business, Private, or Commercial banking functions, including substantial experience in loan documentation and compliance. Prior leadership or supervisory experience is highly desirable.
Knowledge: Must be well-versed in banking regulations and policies, and possess in-depth knowledge of lending products, documentation, and insurance requirements.
Skills: Excellent communication, time management, and organizational abilities. Must demonstrate initiative and sound decision-making. Proficiency in Microsoft Office (Word, Excel, Outlook) and standard office tools is essential.
