Job Description

ProspectBlue has partnered with a reputable company in Richmond, VA and is seeking an Executive Administrative Assistant. The ideal candidate will have the responsibility to operate as an intermediary for the Executive Leadership Team while performing routine and comprehensive administrative duties.
Demonstrate leadership in tactical day-to-day functions for the Executive Leadership Team, coordinate special events, provide administrative support for various projects, and schedule management. The Executive Administrative Assistant will manage sensitive and confidential information regularly; therefore, diplomacy, tact and discretion are critical skills. Work is performed independently or in accordance with oral instructions from the Executive Leadership Team. This position will report to the Chief People Officer.

Key Duties and Responsibilities:
• Manage and maintain complex calendars for multiple executives, to consist of scheduling meetings, appointments, and travel arrangements.
• Prepare meeting agenda as required and materials; coordinate meeting logistics such as venue, catering, and technology.
• Plan and book travel arrangements to incorporate flights, accommodations, and ground
• transportation, ensuring efficient and cost-effective travel and manage expense reporting.
• Prepare, gather, and format information for internal and external distribution such as writing memos, editing, and proofreading.
• Provide administrative support for various projects and initiatives as required, report preparation and presentation support.
• Point of contact for Executive Leadership Team for internal and external communications.
• Manage sensitive and/or confidential material and information with a high level of discretion.
• Perform other duties as assigned.

• Education & Experience
• High school diploma. Undergraduate degree preferred
• A minimum of 5 years of experience in an administrative position, preferably supporting an executive team.
• Well-versed in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Excellent communication and interpersonal skills
• Ability to work independently and as part of a team
• Strong attention to detail and accuracy
• Ability to multitask and prioritize tasks effectively
• Manage confidential information with discretion and professionalism
