We are seeking a detail-oriented and organized Project Accounting Coordinator with experience supporting TxDOT or heavy civil road construction projects. This role will assist with daily transactional accounting, project cost tracking, billing, and compliance to ensure accurate and timely financial reporting across multiple construction projects.
Daily Transactional Support
Enter and code vendor invoices, purchase orders, and employee expenses to the appropriate project or job codes.
Assist with timecard collection, review, and posting for field and project staff.
Maintain daily cost entries in the accounting or ERP system, including materials, rentals, subcontractor charges, and equipment usage.
Ensure accurate accounts payable and receivable postings tied to TxDOT contracts, change orders, and work authorizations.
Job Costing & Project Tracking
Reconcile job cost reports with actual expenses and committed costs.
Track budgets versus actual costs at the project level, identifying and flagging variances.
Support preparation of TxDOT billing packets, pay applications, and cost backup documentation.
Maintain organized financial records for each project, including contracts, invoices, and change orders.
Financial Reporting Support
Run weekly and monthly cost reports for Project Managers, Job Cost Accountant, and Controller.
Provide data for WIP (Work-in-Progress) reporting and revenue recognition.
Assist with project closeout activities, including reconciliations and final billing.
Cross-Department Coordination
Serve as a liaison between accounting, operations, and project managers to resolve cost coding, invoice approval, and documentation issues.
Support field staff with questions related to expense coding, rental logs, and TxDOT compliance paperwork.
Ensure project financial records are audit-ready and meet TxDOT, DOT, and company standards.
Process & Compliance
Maintain adherence to TxDOT contract requirements, company accounting policies, and internal controls.
Support internal, external, and TxDOT audits by providing requested financial data.
Assist in improving accounting workflows and processes related to project cost tracking, billing, and reporting.
Associate’s or Bachelor’s degree in Accounting, Finance, or Construction Management preferred.
3+ years of accounting experience in construction or project-based environments; TxDOT project experience strongly preferred.
Proficient in ERP/accounting systems (e.g., Viewpoint, Sage, or similar).
Strong attention to detail, analytical skills, and ability to manage multiple priorities.
Excellent communication and organizational skills.
