Job Description

Responsibilities:

  • Oversee daily office operations including scheduling, supply management, and vendor/customer relations
  • Provide administrative support to leadership and staff
  • Streamline office workflows and implement process improvements
  • Coordinate team events and internal communications
  • Ensure compliance with safety protocols, HR policies, and operational standards
  • Manage office budgets, expenses, and supply inventory
  • Handle customer calls/emails and direct to appropriate staff
  • Coordinate office maintenance and equipment needs
  • Report office progress to senior management
  • Manage payroll, AP/AR, expense tracking, and customer/vendor setup in QuickBooks Online
  • Handle employee onboarding/offboarding, timesheet verification, PTO, and ESTA inputs
  • Process lien releases and work with insurance companies on claims and audits

Requirements:

  • 5+ years office administration and management experience
  • 3+ years proficiency with QuickBooks Online
  • 3+ years Microsoft Suite experience (Word, intermediate Excel)
  • Strong written and verbal communication skills
  • Excellent organizational and multitasking abilities
  • Flexibility to adapt to changing company needs
  • Strong interpersonal and leadership skills
  • High attention to detail
