The Administrative Assistant to the Interim Chief Information Security Officer (CISO) provides high-level administrative and operational support to the CISO and the broader Cybersecurity leadership team. This role ensures the smooth execution of daily priorities, and acts as a central coordination point between the cybersecurity team and key internal and external stakeholders. The ideal candidate is organized, discreet, proactive, and tech-savvy, with strong judgment and the ability to operate in a fast-paced, confidential environment.
Key Responsibilities
Executive Support
- Manage the calendar, including scheduling, prioritizing meetings, and resolving conflicts across time zones.
- Screen and manage communications), ensuring timely and appropriate responses.
- Coordinate travel, prepare itineraries, and process related expense reports in compliance with company policy.
- Prepare meeting agendas, talking points, and follow-up actions for cybersecurity team meetings.
- Support the preparation of materials, including presentations, reports, and dashboards.
Operational Coordination
- Organize Cybersecurity leadership meetings, including logistics, note-taking, and action tracking.
- Maintain a master calendar of cybersecurity items including tracking deliverables across the cybersecurity program
- Track deliverables across Cybersecurity programs (e.g., risk assessments, compliance reviews, awareness campaigns).
- Assist with budget tracking, purchase requests, and vendor coordination.
- Support processes for team members and vendors for the cybersecurity team.
- Planning of events, meetings, lunch, dinner and other types of meets for the cybersecurity team.
Communications & Liaison
- Coordinate external engagements with regulators, partners, and vendors, ensuring timely and professional correspondence.
- Uphold confidentiality and discretion regarding all sensitive information, team and executive matters.
Project & Process Support
- Help drive team efficiency through process improvements and administrative automation.
- Assist in tracking departmental KPIs, budget utilization, and strategic initiative progress.
- Maintain organized records, contracts, and reference materials related to cybersecurity.
- Support planning and execution of cybersecurity awareness events, briefings, and offsites.
Qualifications
Required:
- 3–5 years of experience in administrative support
- Exceptional organizational, written, and verbal communication skills.
- High degree of professionalism, discretion, and integrity.
- Proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, Word, SharePoint).
- Strong attention to detail and ability to manage multiple priorities under tight deadlines.
Preferred:
- Experience managing purchase orders, budgets, and vendor coordination in enterprise settings.
- Proficiency with collaboration tools such as ServiceNow, Concur, Smartsheet, or similar platforms.
