Job Title: Human Resources

Location: Albany, New York

HR will be responsible for the following: 

 

W-2's 

Offer letter: 

  • Create offer letters in Panda Docs and send to Sanjay.   
  • Check panda docs to make sure that the employee signed it (One week after creation)If they have not signed up, follow up. 

 

Onboarding with Paylocity 

  • Receive information from recruiters and launch onboarding software.  
  • Follow up with employee to ensure they are getting onboarding done and have no issues 
  • Complete HR’s portion of onboarding including checking that a voided check is uploaded and confirming info on check matches info entered into paylocity, approving tax details, Complete I-9. Once it is verified, print out and put into I-9 Binder 

Background checks  

  • Check the required background checkFor most employees this will be a basic check, but some agencies require a more stringent check.   
  • Launch the appropriate check for employee 
  • Once they have completed the check, look it overIf there are any hits contact Kelly and Sanjay and let the client know that there was a hitClient will make final decision on moving forward 
  • If an agency requests a copy of the check, forward it to client. 
  • For C2c’s we offer them a choice of using our system or doing their ownCandidate must have a completed back ground check prior to starting 

Educational/Employment verification:(W2 and C2C) 

  • Employee/C2C will be sent a form to fill out with their previous experiance 
  • Call, email and use people facts to confirm the information 

 

 

Employee Navigator (W2s) 

  • Send them the current benefits booklet. 
  • Send benefits employee navigator information to employee.   
  • Follow up with employee to make sure they understand the portal and see if they are having trouble 
  • Make sure benefit selections are complete within one week of start dateOnce elections are made make sure they did not elect medical if they waived on offer letter and make sure they elected if they accepted it on offer let 

 

NDA’s W-2 and C2C HBITS only 

  • Receive NDA’s from Bob and fill out the information 
  • Send info to candidate to fill out 
  • Make appointment with candidate to come in and get notarize (Coordinate with Ed) 
  • Send it to the client and cc Bob 

 

Vendor letters: C2C HBITS only 

  • When a request comes for a vendor letter, send the company our template and ask them to use our format.   
  • Review and see if there are any concerns or issues with what information they provided   
  • Send the letter and any questions/concerns to Sanjay. He will inform you of any changes that need to be made. 
  • Once it is approved, put it on company letterhead and send it to Kelly for Signature. Once she has signed it she will return it to you to be sent to compnay 

 

 

Trainings: W2  

  • At the time of onboarding make sure sexual harassment training is completed 
  • Send out a request for sexual harassment trainings when certificate expires (W2s) follow up to ensure it gets done with in 30 days. 

Trainings: C2C 

  • Get copies of sexual harassment trainings from subcontractors and follow up as they expire. 

 

 

I-9s (W2 and C2C) 

  • Put I-9s into binder 
  • Take out inactive employees from active binder and put into inactive 
  • Monthly audit of I-9s  to see if anyone needs to be reverified,  For W2s we do in house for C2C’s we reach out to their employer for either a reverified I9 or a new one.   

Insurance accords (C2C) 

  • Reach out subcontracting companies to get a current insurance accord 
  • Audit accords to make sure they are current and request new accords for companies that the ones we have are expired 

Open enrollment: 

  • Assist each April with open enrollment 
  • Answer questions on benefits 

Phones: 

  • Answer phones and see if you can assist 
  • Write down information before redirecting the call.  Who is it, what are they calling about, is there a job number associated with their question.  Bring that info to the person receiving the call.
