Job Description

Our client is a mid-sized law firm with a primary focus on litigation. They are seeking a detail-oriented and proactive Immigration Legal Assistant to join their team and support lawyers and clients throughout the full lifecycle of immigration matters. The firm is committed to maintaining a positive, collaborative workplace culture and is looking for a professional with a client-focused approach.
 
Key Responsibilities: 
  • Prepares, reviews, assembles, and submits a wide range of immigration applications, forms, and supporting documentation to relevant government authorities.
  • Drafts immigration-related documents under lawyer supervision, including cover letters, retainer agreements, employer support letters, and temporary and permanent resident applications.
  • Maintains organized electronic and physical client files, including document checklists, supporting documentation, file labels, and records in accordance with firm procedures and regulatory requirements.
  • Acts as a primary point of contact for clients, lawyers, and government agencies, providing application updates, responding to requests, and following up on outstanding information.
  • Monitors, tracks, and diarizes important deadlines to ensure timely submission of applications and compliance with immigration requirements.
  • Assists clients with online immigration portals, including account setup, document uploads, application submissions, correspondence tracking, and record maintenance.
  • Coordinates certified translations and verifies that translated documents meet immigration and legal submission standards.
Qualifications: 
  • Fluent in Punjabi and Hindi
  • Graduate of a Legal Administrative Assistant program is preferred; equivalent relevant experience will also be considered.
  • Previous legal assistant experience, particularly within immigration law, and a strong understanding of Canadian immigration processes, documentation requirements, and government portals, including IRCC and LMIA/ESDC, are considered assets.
  • Excellent attention to detail, organization, time management, multitasking, and prioritization skills
  • Strong written and verbal communication skills, with a professional, client-focused approach
  • Ability to work independently and collaboratively within a team environment, with a positive attitude and commitment to excellence.
  • Excellent word processing and typing skills, with proficiency in Microsoft Office, including Excel.
  • Commitment to maintaining confidentiality and overseeing sensitive information with discretion.
