Job Description

Our client, a mid-sized downtown law firm, is seeking a client-service-oriented Human Resources Assistant to join its Administration team. Reporting to the Director of Administration, this role supports HR administration, recruitment, employee programs, and day-to-day operational needs. The ideal candidate is organized, detail-oriented, professional, and comfortable managing multiple priorities while maintaining confidentiality.

Key Responsibilities: 
  • Support HR and operational initiatives across the firm.
  • Coordinate recruitment, including job postings, candidate screening, interview scheduling, reference checks, offer letters, and employment documentation.
  • Facilitate onboarding, cross-boarding, status changes, and offboarding processes.
  • Maintain accurate employee records, HRIS data, digital files, and recruitment tracking while ensuring confidentiality and data integrity.
  • Prepare and maintain HR correspondence, employment verifications, compensation letters, employee communications, and related documentation.
  • Respond to employee inquiries regarding policies, procedures, benefits, and workplace resources.
  • Coordinate training, performance review schedules, wellness initiatives, team-building activities, employee events, and recognition programs.
  • Assist with compliance, reporting, HR metrics, annual schedules, and process improvement initiatives.
  • Support a positive, inclusive, and collaborative workplace culture and perform other administrative or HR duties as assigned.
Qualifications:
  • 2+ years of HR administration experience and a post-secondary diploma/degree in Human Resources, Business Administration, or a related field.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, strong typing skills, and comfort using HR systems or digital records.
  • Excellent organization, time management, multitasking, and prioritization skills.
  • Professional, reliable, discreet, and able to handle confidential information appropriately.
  • Strong judgment, problem-solving skills, initiative, and ability to work both independently and collaboratively.
  • Professional services or law firm experience is considered an asset.
