We are seeking a detail-oriented and customer-focused Customer Service Representative to support order processing, vendor coordination, and customer communication. This role requires a high level of accuracy, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. Accuracy is key and essential to success in this position, as the role directly impacts customer satisfaction, order fulfillment, and vendor coordination.
Troubleshoot and resolve product-related issues using a customer-centric approach
Maintain accurate and up-to-date customer records by documenting all interactions thoroughly
Communicate with customers in a positive, empathetic, and professional manner
Demonstrate strong attention to detail when addressing customer inquiries and requests
Execute order entry based on customer requests and purchase orders with a high degree of accuracy
Submit purchase orders to the appropriate vendors and ensure all order details are correct
Receive and verify vendor order confirmations
Send order confirmations to customers and respond promptly to inquiries
Update and maintain all order-related documentation accurately
Communicate with vendors regarding order details and ship dates
Confirm accurate ship dates and relay updates to customers in a timely manner
Track inbound and outbound shipments to ensure visibility and transparency
Proactively notify customers of any ship date changes and adjust orders accordingly
Generate freight quotes from Less Than Truckload (LTL) carriers and secure competitive shipping rates
Schedule inbound and outbound shipments efficiently
Prepare shipments for both domestic and international delivery
Complete all required customer and shipping documentation accurately
Work closely with the Sales Team Liaison to update customer sheets and communicate important order details
Answer incoming phone calls and route them appropriately
Maintain clear, consistent communication between customers and vendors
Develop and maintain working knowledge of evolving products and services
Perform filing and record-keeping to maintain organized documentation
Maintain a clean and organized workstation in collaboration with team members
Ability to occasionally lift items weighing over 30 pounds when preparing shipments
Previous customer service experience required
QuickBooks experience is mandatory
Strong organizational, multitasking, and time-management skills
Excellent written and verbal communication skills
Proficiency with order management systems and documentation
High attention to detail with a strong commitment to accuracy
Ability to adapt and perform effectively in a fast-paced work environment
