Step into a company where refined design meets hands-on craftsmanship—where a stunning, high-end studio connects seamlessly to a bustling warehouse of artisans building custom furniture from the ground up. We are seeking a highly organized, proactive Part-Time Executive Assistant to support the Managing Director of a premier custom furniture firm with over 20 years of experience crafting sophisticated wood and metal pieces for residential and commercial spaces. Our client is a thriving small business and this role plays a key part in keeping daily operations running smoothly, requiring a polished, adaptable professional who thrives in a fast-paced, creative environment.

Key Responsibilities

  • Operational Support: Provide general assistance with daily business operations and business development initiatives.

  • Schedule Management: Responsible for managing and maintaining the Director's schedules, appointments, and general communications.

  • Meeting Coordination: Schedule and coordinate all aspects of meetings, including ordering catering, developing agendas, inviting participants, and checking room accommodations.

  • Event Planning: Plan and facilitate internal and external events for employees, customers, and executives (e.g., social activities, marketing events, and client meetings).

  • Facilities Administration: Manage office requests, coordinate workspace and office equipment needs, and maintain inventory of office and kitchen supplies.

  • Errand Running: Handle a variety of errands related to the office, specific projects, and the overall furniture line.

  • Vendor & Staff Coordination: Provide support in coordinating various internal and external projects with outside vendors and internal staff.

  • Marketing Assistance: Support marketing endeavors related to the production of marketing materials and literature.

  • Communication: Effectively communicate with current and prospective clients, employees, vendors, and strategic partners, serving as a professional representative of the firm.

  • New Hire Support: Assist with onboarding new hires, coordinating supplies, working with IT for space and equipment setup, and managing onboarding paperwork. May also assist in the recruiting process.

  • Project Management: Ability to function in a team environment, as well as work and manage projects independently from start to finish.

  • Adaptability: Adapt to evolving priorities and consistently meet deadlines under pressure.

Skills & Experience

  • 5+ years of experience in an administrative-related field, preferably supporting executive-level management.

  • Proven service experience and an understanding of high-end products or luxury goods is a plus.

  • Ability to handle multiple projects simultaneously, meet critical deadlines, and maintain flexibility.

  • Can work effectively and collaboratively across internal teams and with external partners.

  • Demonstrated in-depth problem-solving skills and a proactive approach to issue resolution.

  • Excellent oral and written communication skills.

  • Must thrive in an entrepreneurial, fast-paced, open, and collaborative environment.

  • Always looking for ways to improve efficiency and provide quality service.
