Job Description

ESTATE MANAGER

Atherton / Silicon Valley, CA | Multi-Residence Portfolio | Full Time

An executive couple based in Silicon Valley is seeking an outstanding, highly capable and resourceful Estate Manager to oversee household operations across four estates in Atherton, New York, Wyoming and London, while also providing high-level executive and personal support to the Principals.

The home base for this position is Atherton, with regular travel to the family's additional residences.

The family includes two Principals and their two school-aged children, supported by a team of 10+ across the portfolio. The Director of Residences will be responsible for creating a cohesive operational structure across all properties, establishing efficient workflows, staffing plans, service standards and communication protocols to ensure a consistently exceptional experience regardless of which residence the family occupies.

This is a high-level, high-trust position requiring someone who thrives in a sophisticated, fast-moving environment, anticipates needs before they arise and can move seamlessly between estate operations, executive support and Principal-facing responsibilities.

Key Responsibilities

  • Oversee operations and service standards across all four residences
  • Build and implement consistent household systems, SOPs, workflows and communication protocols
  • Develop appropriate staffing structures for each property, including individual property management roles
  • Lead, mentor and coordinate household staff across multiple locations
  • Ensure each residence is impeccably maintained, operational and Principal-ready at all times
  • Maintain continuity of the family's preferences, service standards and household procedures across the portfolio
  • Serve as a primary liaison between the Principals, household teams, business associates, vendors and external partners
  • Own and strategically manage the Principal's complex calendar, including business, philanthropy, special projects, meetings and events
  • Coordinate complex domestic and international travel and ensure seamless logistics between residences
  • Communicate regularly with House Managers and property staff to maintain accountability and operational consistency
  • Oversee property maintenance, preventative maintenance programs, vendors and contractors
  • Support property projects, renovations and capital improvements as required
  • Maintain working knowledge of household systems, security, AV/IT and smart-home technology
  • Oversee household budgets, expenses and operational reporting as appropriate
  • Plan and execute private events and entertaining, including large-scale gatherings of up to 100 guests
  • Coordinate guest readiness, household staffing and service requirements surrounding events and Principal arrivals
  • Support business contracts, compliance matters and confidential special projects as assigned
  • Assist with personal and family matters while collaborating closely with the existing support team
  • Protect the Principals' privacy and ensure the highest standards of discretion, confidentiality and security awareness

Ideal Candidate

The successful candidate will be sharp, sophisticated, energetic and exceptionally proactive, with significant experience supporting HNW/UHNW Principals and managing complex private residences.

This person should be a natural problem-solver who takes full ownership, sees both the big picture and the smallest operational details, and knows how to create structure within a dynamic environment.

Candidates should possess strong leadership skills and the ability to build, train and develop high-performing household teams while maintaining appropriate accountability and service standards. Excellent judgment, emotional intelligence and communication skills are essential.

The Director of Residences must also be comfortable operating as a trusted extension of the Principals—representing them professionally with business associates, vendors and external partners while understanding when to act independently and when to escalate.

Requirements include:

  • Significant experience in senior private service, multi-estate management, Chief of Staff, Director of Residences or comparable roles
  • Proven experience supporting sophisticated HNW/UHNW Principals
  • Strong multi-property operations and staff leadership experience
  • Exceptional organizational and project-management abilities
  • Experience managing complex calendars and domestic/international travel
  • Strong understanding of luxury hospitality and service standards
  • Experience with private events and entertaining
  • Good working knowledge of household systems and smart-home technology
  • Excellent written and verbal communication skills
  • Exceptional discretion, judgment and confidentiality
  • Flexibility to travel regularly between residences
  • Strong, verifiable references and demonstrated longevity preferred

Experience within the gaming or talent agency industries is a strong plus.

Schedule: Monday–Friday, with flexibility required for Principal needs, travel and events.

Compensation: Competitive executive-level compensation package offered, DOE.

Please submit an updated resume in WORD format for immediate and confidential consideration.
