JOB DESCRIPTION

DOCUMENT CONTROL MANAGER

 

 

The Document Control Manager is under the direct supervision of the Client’s Project Manager. The Document Control Manager's duties require that he/she shall be knowledgeable in the administration and management of construction projects and project specific correspondence, data, reports, forms, and records necessary and required by contract specifications, and documentation. The Document Control Manager exercises independent judgment and discretion in making recommendations to the Client’s Project Manager regarding the documentation necessary to meet local, state and federal regulatory compliance requirements for pipeline and facility construction projects

 

EDUCATION:

·Minimum High School Diploma or equivalent

QUALIFICATIONS

·3+ years of experience in document control in an office environment.

 

·2+ years in the administration of construction projects and the handling of project specific construction materials and the management of correspondence, data, reports, forms, and records necessary and required by contract specifications, and documentation

 

·Proficient computer knowledge: i.e. Word, Excel, accounting and time management software, and email functions

 

·Prior experience utilizing copier, fax, 10-key, and other office machines

ESSENTIAL JOB FUNCTIONS:

 

Job duties will vary depending upon the particular circumstances of each individual project and the needs and requirements of the Client, including the Client’s Project Manager. Employee is required to

 

 

 

 

 

comply with the Client’s operational requirements which vary from project to project.

Employee should be prepared and able to perform the following job duties, although the specific duties required for each project will depend on the Employee’s supervisor and the particular needs of each client and project depending upon the location, geographic and weather conditions and client requirements:

·Performs duties as designated by the Client’s Project Manager, in accordance with the job requirements outlined in the assigned activity.

·Maintains complete files of correspondence, data, reports, forms, schedules, and records necessary and required by contract specifications, and documentations.

·Ensure an accurate project filing system is maintained.

·Oversees the completion of reports and forms as required by GIFS and Client Company.

·Assigns activities of clerks and/or other personnel assigned to document control duties.

·Organizes and file documents and other data.

·Distributes documents, parcels and other material.

·Makes recommendations regarding general business operations.

·Ensure timely completion of all required documentation (including “Red-line” drawings).

 

oCommunicate Effectively (including reading and writing) to Accomplish the Following Results:

·Communicate with supervisors and the client regarding whether the contract is being performed in a suitable manner and engage in constructive problem solving.

·Administer customer service.

 

oDeliver Excellent Client Service by:

·Adhere to the Client Manager/ Company Man’s requirements which will be different from project to project.

·Maintaining and effectively utilizing good listening, clear and knowledgeable communication, and good interpersonal relationships skills.

·Exercising good decision making and problem solving skills;

·Promptly and attentively responding to client concerns;

·Making recommendations to client on situations that may require construction crews to work outside of the parameters of the client’s specifications;

·Effectively utilizing good time and priority management (must be able to multi-task);

·Maintaining and facilitating positive relations with and between the client, regulators, contractors’ crews, property owners, and other project participants.

 

oAbility to Travel to Worksite as Follows:

·Must have valid drivers’ license;

·Must be physically able to travel by automobile to client site in other states or within Texas; and

·Must be physically able to drive an automobile and have reliable transportation.

 

 

oMust have the ability to be physically present to work onsite at client’s location on a daily basis and to work away from home for extended periods of time.

oMust have the ability to work independently without supervision in order to perform job duties listed in this Job Description.

oMust have the ability to manage time effectively in order to accomplish job tasks in an organized and efficient manner and within deadlines set by client.

 

OTHER JOB FUNCTIONS:

 

oPerform duties as designated by the client’s project manager in accordance with the job requirements outlined in the assigned activity.

 

oMaintain a professional appearance at all times, including attire and grooming, in order to maintain GIFS’s image and increase the effectiveness of your inspection and communication efforts.
