Document Controller – Decommissioning Project

Reports to: Project Controls Manager
Team: Project Controls
Location: Perth, WA

Role Purpose

The Document Controller is responsible for the effective management, coordination and administration of project documentation for a major offshore Decommissioning Program .

Working within the Project Controls team and reporting to the Project Controls Manager, the role will maintain the Master Document Register (MDR) and ensure project documents, correspondence and Contract Deliverables are appropriately controlled, distributed, tracked, reviewed and retained throughout the project lifecycle.

Key Responsibilities

Maintain and administer the project Master Document Register (MDR) as the primary record of project documentation and document status.

Manage project document control processes, including document numbering, revision control, status, classification, filing and distribution.

  • Coordinate the submission, receipt, review and return of documents between Zenith, our client, subcontractors and other project stakeholders.
  • Track Contract Deliverables, review cycles, due dates, approvals and outstanding actions.
  • Ensure documents are issued using the correct project templates, numbering conventions, revision status and document metadata.
  • Maintain accurate records of document transmittals, correspondence and formal project submissions.
  • Ensure superseded documents are appropriately archived and current approved versions are readily accessible to project personnel.
  • Support technical and functional teams in the preparation and issue of controlled project documentation.
  • Assist with establishing and continually improving project document control procedures, workflows and systems.
  • Support audits, assurance activities and project reporting through provision of accurate document records and registers.
  • Maintain appropriate confidentiality, security and access controls for project information.

Skills & Experience

  • Previous experience in a Document Controller or project administration/document management role, ideally within engineering, energy, resources or major projects.
  • Strong organisational skills and attention to detail.
  • Experience maintaining document registers and revision-controlled documentation.
  • Good working knowledge of Microsoft Office and electronic document management systems.
  • Ability to manage multiple document workflows, priorities and deadlines.
  • Strong written communication and stakeholder coordination skills.
  • Ability to work effectively within a multidisciplinary project team.

The role supports the project's contractual document management requirements, including the identification, revision, submission and control of Contract Deliverables required by the client.
