Job Summary
The Practice Manager is responsible for overseeing all administrative and operational functions of the medical practice to ensure efficient, compliant, and patient-centered operations. This role manages staff, finances, billing, compliance, and daily workflows while collaborating closely with physicians and external partners. The Practice Manager fosters a positive office culture, supports quality improvement initiatives, and ensures an excellent patient experience and financial performance in a collaborative, hands-on environment.
Qualifications
- Bachelor's/Associate degree in healthcare administration, business, or related field, or 5+ years of experience in
medical office management or healthcare leadership. - Supervisory experience, including hiring, training, coaching, and performance management.
- Experience in bookkeeping, budgeting, financial reporting, and revenue cycle management.
- Familiarity with insurance verification, billing workflows, and EHR systems (e.g., eClinicalWorks, Epic).
- Working knowledge of HIPAA, OSHA, and OIG compliance.
- Proficient in Microsoft 365 (Outlook, Word, Excel, Teams).
- Strong organizational, time-management, and problem-solving skills.
- Excellent written and verbal communication with patients, staff, providers, and external partners.
- Comfortable in a small-practice, hands-on environment requiring flexibility and collaboration.
Responsibilities
- On-site during clinic hours; additional time may be needed for meetings and staff support outside of business hours.
- The Manager is responsible for all office operations, reporting directly to the physician owners of the practice.
- Manage office finances with support from the accounting firm and conduct monthly revenue cycle meetings with physicians.
Stay current on legal and regulatory requirements relevant to practice operations to ensure compliance across the practice. - Oversee billing, coding, and incentive programs to optimize revenue.
- Maintain knowledge of quality measures, including patient experience, and work with staff to improve outcomes.
- Update, implement, and maintain appropriate policies and procedures.
- Ensure the timeliness and accuracy of payroll and staff benefits
- Maintain checklists for onboarding and offboarding all staff positions.
- Lead employees in a proactive, compassionate manner to foster a positive office culture, enhance efficiency, and reduce turnover.
