Role: Finance & Bookkeeping Associate
Contract: Full-time Remote Contractor (160 hours monthly)
Business Hours: Monday through Friday, flexible within 5 AM EST – 8 PM EST
Rate: $1,300 - $1,500 USD monthly
Availability to Start: Immediately

What You'll do
As a Finance & Bookkeeping Associate, you will serve as the primary financial and operational anchor for the client. This role goes beyond transactional bookkeeping and requires an analytical, self-driven professional who can proactively manage financial tracking, analyze cash flow trends, monitor inventory and logistics costs, and deliver actionable insights for management decision-making. You will manage Accounts Payable (AP), Accounts Receivable (AR), bank reconciliations, and vendor/supplier invoicing while maintaining accurate financial records and identifying cost variances and operational efficiencies across CPG sales channels. Your responsibilities will include:
  • Full-Cycle Bookkeeping & Transaction Management (40%)
    • Maintain precise, accurate financial records in QuickBooks Online by properly recording and categorizing all income, expenses, invoices, and receipts.
    • Process supplier and vendor invoices, verify charges for accuracy, resolve pricing discrepancies, and coordinate timely payments.
    • Generate and issue client/customer invoices promptly, monitor AR aging, record incoming payments, and proactively follow up on overdue accounts.
    • Track, manage, and properly categorize business expenses, ensuring complete documentation for all employee reimbursement reports.
  • Financial Analysis, Budgeting & Cash Flow (30%)
    • Manage bank and credit card accounts, reconcile statements, monitor balances, and execute necessary fund transfers.
    • Prepare accurate monthly, quarterly, and annual financial statements (income statements, balance sheets, cash flow statements) and custom management reports to support strategic decision-making.
    • Assist in building and maintaining company budgets, actively monitoring variances and recommending adjustments.
    • Analyze financial trends and data to deliver actionable insights that support cash flow management and future forecasting efforts.
  • Supply Chain, Logistics & Vendor Relations (20%)
    • Apply CPG and supply chain knowledge to support inventory management, freight tracking, and logistics-related expense allocation.
    • Maintain structured electronic vendor records and foster positive, professional relationships with key suppliers and logistics partners.
    • Audit incoming freight and supplier invoices against inventory movements to ensure accurate cost records.
  • Communication & Administrative Oversight (10%)
    • Maintain clear, effective written and verbal communication with internal leadership, vendors, and clients regarding financial inquiries.
    • Identify, investigate, and resolve financial discrepancies or operational bottlenecks as they arise.
    • Maintain organized, secure electronic files in Google Workspace/Excel to ensure seamless document retrieval and audit readiness.

What You Should Have
Must-Haves:
  • At least 3+ years of hands-on Bookkeeping & Financial Experience with a proven track record managing Full-cycle AP/AR, bank reconciliations, and General Ledger maintenance for U.S.-based businesses.
  • At least one year of experience in a global remote setup with a company based in North America.
  • Background in Logistics and Consumer Goods to contribute effectively to supply chain and inventory management.
  • Demonstrated ability to look beyond data entry, analyze cash flow, track budget variances, and present actionable financial insights to leadership.
  • Mastery of QuickBooks Online for full-cycle transaction management, reconciliations, and financial reporting.
  • Advanced proficiency in Microsoft Excel (VLOOKUPs, pivot tables, variance analysis) and Google Workspace (Docs, Sheets, Drive).
  • Exceptional written English skills for effective collaboration with leadership, vendors, and freight partners.
