Role: Legal Operations Manager
Contract: Full-time Remote Contractor (40 hours weekly / 160 hours monthly)
Business Hours: Monday through Friday, 9 AM to 5 PM EST
Rate: $2,500 - $3,750 USD monthly / $30,000 - $45,000 USD annually (Salary is negotiable based on experience and location)

What You'll Do
As the Compliance & Legal Operations Manager, you will support and manage contracting and legal workflows, ensuring that service agreements, NDAs, and vendor contracts are executed accurately, promptly, and in compliance with applicable healthcare regulations. This role requires a blend of paralegal or contract management expertise, along with working knowledge of healthcare compliance, specifically within the FQHC and 340B spaces. Your core responsibilities will include the following:
- Contracting & Agreement Management
- Prepare, populate, and send company's standard contract templates (ISAs, CE Management Agreements, Contract Pharmacy Agreements, MOUs, and amendments) using approved templates and client-specific data.
- Coordinate the end-to-end contract execution process, including routing for internal review, managing signature workflows (e.g., ZohoSign), and confirming counterparty execution.
- Maintain an organized, version-controlled contract repository; ensure all executed agreements are filed accurately with complete metadata.
- Flag non-standard redlines, deviations from company's approved templates, or terms requiring legal or leadership review.
- Liaise with internal teams (sales, operations, client success) to gather data needed to populate contract schedules, attachments, and exhibits.
- NDA Management
- Serve as the first point of contact for all inbound and outbound NDA requests.
- Prepare, send, and track mutual and one-way NDAs using company's standard templates.
- Conduct initial review of counterparty NDA redlines; negotiate minor, pre-approved deviations independently; escalate material deviations to counsel.
- Maintain a searchable NDA log with key metadata, including parties, effective date, expiration date, renewal terms, and the scope of confidentiality.
- Proactively monitor NDA expirations and coordinate renewals before lapse.
- Compliance Reporting & Program Support
- Prepare and distribute regular contract execution status reports to leadership, tracking pipeline, in-progress agreements, pending signatures, and completed contracts.
- Support HRSA, 340B, and state-level compliance reporting workflows as directed, including data compilation, document preparation, and deadline tracking.
- Maintain compliance calendars and alert relevant stakeholders of upcoming regulatory deadlines, agreement renewals, and audit windows.
- Assist in developing and refining internal SOPs for contracting, NDA management, and compliance documentation.
- Support audit readiness by organizing and retrieving contract documentation, correspondence, and supporting records on request.
- Cross-Functional Collaboration
- Work closely with the company sales team to ensure contracts are issued and returned promptly to support deal timelines.
- Collaborate with client-facing teams to address contract-related client questions and coordinate smooth onboarding transitions.
- Partner with leadership on special compliance projects, policy updates, and internal training initiatives.
What You Should Have
Must-haves:
- Must have a minimum of at least 3 years of experience in Contract Management, Legal Operations, or a Paralegal Role, preferably in a Healthcare or Professional Services environment.
- At least one year of experience working remotely with clients or companies based in the US, UK, Canada, and/or Australia, demonstrating the ability to adapt to international business practices.
- Demonstrated experience preparing, routing, and tracking complex commercial agreements through execution.
- Familiarity with NDA negotiation and standard confidentiality agreement terms.
- Proficiency with contract lifecycle management tools and/or e-signature platforms (ZohoSign, Adobe Sign, or equivalent).
- Strong organizational skills with a track record of managing multiple active contracts simultaneously without errors.
- Excellent written communication skills with the ability to draft professional correspondence with minimal supervision.
- Comfortable working in a fast-paced, remote environment with evolving priorities.
- Experience using HubSpot, Notion, Atlassian, or similar CRM/project management tools.

Nice-to-haves:
- Experience in FQHC, community health center, or 340B Drug Pricing Program environments.
- Paralegal certification or J.D. (candidates not seeking bar admission are welcome to apply).
- Familiarity with HRSA compliance requirements or federal healthcare program regulations.
- Prior exposure to healthcare data privacy requirements (HIPAA BAA drafting and negotiation).
