Role: Operations Manager
Contract: Full-time Remote Contractor (160 hours monthly)
Business Hours: Monday through Friday, 8 AM - 5 PM EST (With flexibility while maintaining full operational coverage and alignment with clinical teams)
Rate: $12 - $18 USD hourly / $1,920 - $2,880 monthly (Salary is negotiable depending on experience and location)

What You'll Do
As an Operations Manager, you will be responsible for overseeing daily operations across multiple service lines and locations, ensuring efficient workflows, regulatory compliance, and high-quality service delivery. You are a hands-on and strategic leader who serves as the bridge between leadership and frontline teams, managing administrative and clinical support functions while driving operational performance, accountability, and continuous process improvement. This is a high-impact role overseeing a team of approximately 27 staff across two sites, with strong potential for growth into a Director-level position as the organization scales. Responsibilities include, but are not limited to:
- Operational Workflow Management
- Oversee daily operational workflows to ensure efficient patient throughout and minimal administrative errors.
- Supervise service line operations (IOP, MAT, PRP, and OMHC), ensuring staff adherence to internal and CARF accreditation policies and procedures.
- Maintain and continuously improve SOPs across intake, front-desk operations, and patient discharge.
- Identify workflow inefficiencies and implement practical process improvements to enhance day-to-day operations.
- Ensure standardized workflows, adherence to SOPs, and consistent service delivery across sites.
- Monitor operational processes that impact revenue cycle performance (e.g., intake accuracy, authorization timelines, documentation quality).
- Oversee routine operational expenses, including supply ordering, vendor coordination, and equipment maintenance.
- Ensure daily adherence to internal SOPs, HIPAA, ACHC, CARF and internal compliance standards across all operational activities.
- Maintain audit readiness through documentation accuracy, internal audits and spot checks, and root cause analysis and reporting.
- Team Management & Cross-Functional Coordination
- Oversee day-to-day operations across two locations, supporting 27 staff members with adherence to SOPs across administrative and clinical support functions.
- Serve as the primary escalation point for clinicians and staff to resolve operational issues impacting patient care.
- Work alongside HR to support administrative and operational workflows for performance management, disciplinary actions and terminations, coaching, development, and succession planning.
- Assess team structure and workflow efficiency to determine if additional hires or role segmentation are required.
- Lead onboarding and training to ensure new hires are aligned with SOPs, systems, and compliance requirements.
- Foster strong collaboration across clinical, administrative, and billing teams to ensure seamless service delivery.
- Reinforce a culture of accountability, accuracy, and compliance within the team.
What You Should Have
Must-haves:
- 2–4 years of experience in an operations leadership, supervisor, or team lead role within a clinical healthcare setting (preferably Behavioral Health or SUD Treatment).
- Working knowledge of HIPAA, ACHC standards, and Medicare/Medicaid billing workflows.
- At least 2 years of experience working in a remote, global environment with a North America-based company.
- Proven experience of at least 2 years managing distributed teams in a collaborative, cross-functional environment.
- Advanced proficiency with Electronic Health Records (EHR) & CRM systems (e.g., InSync, Behave Health, or similar platform).
- Experience supporting operational budgets, expense tracking, and inventory management.
- Proven ability to manage and support multidisciplinary teams in a fast-paced clinical environment.
- Exceptional verbal and written English communication skills, with the ability to communicate effectively and confidently with both internal and external stakeholders.
- Excellent interpersonal and conflict-resolution skills, with the ability to navigate complex team dynamics.

Nice-to-haves:
- Bachelor's degree in Healthcare Administration, Business, or a related field; MHA or MBA is a plus.
- Strong familiarity with CARF accreditation standards.
- Active Medical Coding Certification (e.g., CPC or CCS-P).
- Familiarity with additional tools used in healthcare operations, scheduling, or billing.
