Role: Accounting Assistant
Contract: Full-time Remote Contractor (40 hours weekly / 160 hours monthly)
Business Hours: Monday through Friday, 9 AM to 5 PM EST
Rate: $8 - $10 USD hourly / $1,280 - $1,600 USD monthly
Availability to Start: Immediately

What You'll Do

As the Accounting Assistant, you will support the client’s Accounting team by handling daily administrative and transactional finance tasks, helping maintain accurate records, and ensuring smooth, efficient operations across high-volume procurement and distribution. Your core responsibilities will include the following:
  • Accounts Payable & Receivable Support
    •  Oversee the end-to-end lifecycle of vendor invoices, purchase orders, and payment requests.
    • Thoroughly verify all incoming documents for pricing, tax compliance, and coding accuracy before entering them into the system.
    • Maintain a disciplined turnaround for all standard invoice processing to ensure reliable vendor relationships and timely payments.
  • Procurement & Vendor Finance Administration
    • Partner with the procurement team to validate that all supplier invoices align strictly with contracted pricing, shipping terms, and delivery confirmations.
    • Continuously track Cost of Goods Sold (COGS) data across various product categories to identify and report pricing variances or margin risks to leadership.
    • Actively investigate any mismatches between invoices, POs, and receiving documents, escalating issues immediately for resolution.
  • Data Integrity & Audit Compliance
    • Ensure the master vendor database and financial records are maintained accurately.
    • Execute a precise Purchase Order-to-Invoice matching process to prevent overpayments or billing errors.
    • Maintain a clean, organized, and secure digital filing system, ensuring every invoice, receipt, and payment confirmation is easily retrievable for financial audits.
What You Should Have

Must-haves:
  • Must have a minimum of at least 2 years of experience in a Finance Administration, Bookkeeping, or Accounting Support role.
  • At least one year of experience working remotely with clients or companies based in the US, UK, Canada, and/or Australia, demonstrating the ability to adapt to international business practices.
  • Strong Microsoft Excel skills, including pivot tables, VLOOKUP, and data formatting.
  • Strong familiarity with CRMs like Zoho and accounting software like QuickBooks.
  • Proficient in using Google Workspace or Microsoft Office Suite.
  • Experience with business intelligence tools such as Power BI or Tableau.
  • Exceptional attention to detail and accuracy in a high-volume transaction environment.
  • High attention to detail and accuracy in processing large volumes of financial transactions.
  • Ability to manage multiple deadlines and thrive in a structured, remote work environment.
