Role: Executive Assistant
Contract: Part-time Remote Contractor (15-20 hours weekly / 60-80 hours monthly)
Business Hours: Monday to Friday, Flexible within 7 AM - 6 PM MST
Rate: $8 - $12 USD hourly / $640 - $960 USD monthly (Salary negotiable based on experience and location)
Availability to Start: Immediately

What You'll Do
As an Executive Assistant, you will support an EOS Implementer by managing calendars, inboxes, client workflows, and meeting logistics with precision and consistency. Success in this role comes from strong attention to detail, reliable follow-through, and the ability to work independently. You will schedule sessions, maintain accurate CRM records, organize client materials, and support weekly EOS L10 meetings. Your work will help ensure client engagements run smoothly while keeping the implementer and clients supported every step of the way. Your day-to-day responsibilities will include:
  • Inbox& Calendar Management
    • Manage inbox during business hours and respond on behalf of the client when appropriate.
    • Prioritize scheduling, client coordination, and time-sensitive requests.
    • Manage business and personal calendars to ensure all sessions, meetings, and commitments are scheduled and protected.
    • Schedule meetings at least ten days in advance whenever possible.
    • Serve as the main point of contact for scheduling when the client is in session or unavailable.
  • Reporting & Productivity
    • Produce EOD and Weekly report updates on completed tasks and progress.
    • Attend and support Weekly L10 meetings, handling logistics, taking notes, and following up.
  • Client & EOS Support
    • Learn and adhere to EOS terminology, cadence, and structure.
    • Track accountability and follow through on agreed action items.
    • Maintain SOPs for recurring administrative and client workflows.
    • Maintain and update Salesforce CRM with client accounts, engagements, and activities.
    • Organize debriefs, notes, photos, and digital folders for easy retrieval.
  • Admin Tasks & Light Marketing Support
    • Coordinate lunch orders or host lunches for sessions and meetings.
    • Manage personal calendar items, reminders, and personal logistics.
    • Assist with ordering, coordination, and confirmations as needed.
    • Support LinkedIn activity coordination (posting, scheduling, organization—not strategy development).
    • Create simple, clean materials using Canva as needed.

What You Should Have
Must-haves:
  • At least three years of experience as an Executive Assistant, Administrative Assistant, or Client Operations Coordinator supporting a Consultant, Coach, or Client-facing Professional in a structured, deadline-driven environment.
  • At least one year of experience in a global remote or virtual environment.
  • Strong English communication skills with the ability to draft clear, professional responses and manage the inbox and scheduling on behalf of an executive.
  • High attention to detail and situational awareness to prioritize scheduling, client coordination, and time-sensitive requests accurately.
  • Proven calendar and scheduling expertise, including managing multiple sessions, advanced scheduling, and rescheduling with minimal disruption.
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets) for daily operations, documentation, and task tracking.
  • Experience maintaining CRM systems (Salesforce preferred) and ensuring client records and activity logs are accurate and up to date.
  • Ability to learn and consistently support EOS tools like Strety and cadence (e.g., weekly L10 meetings) without introducing alternative frameworks or external methodologies.
  • Comfortable executing defined processes and SOPs, with the discipline to follow systems exactly as designed.
  • Trustworthy, discreet, and dependable when handling client information, schedules, and internal communications.
  • Handles sensitive matters with discretion and professionalism.

Nice-to-haves:
  • Experience working directly with visionary founders in fast-paced, multi-business settings.
  • Familiar with the EOS framework (L10 meetings, Rocks, Scorecards, IDS) or experience supporting EOS-led teams.
  • Basic design skills with Canva or similar tools to create polished, brand-consistent presentations.
