Job Description

Role: Client Support Virtual Assistant
Contract: Part-time Remote Contractor (20 hours weekly / 80 hours monthly)
Business Hours: Monday to Friday, from 2 PM to 6 PM EST
Rate: $8 - $10 USD hourly / $640 - $800 USD monthly (Salary is negotiable based on experience and location)
Availability to Start: Immediately

This wellness-focused small business, founded in 2010, was built from the owner’s personal healing journey and is centered on creating an inclusive space that supports both physical and mental well-being. The studio uses infrared-heated, humidity-controlled rooms and emphasizes practical, alignment-based instruction led by certified and experienced teachers.

What You'll Do
As the Client Support Virtual Assistant, you'll be the primary point of contact for clients, ensuring they feel supported, informed, and valued throughout their experience. You'll manage client communication, maintain accurate account details, and provide timely assistance whenever questions or issues come up. This role blends relationship management, problem-solving, and coordination across internal teams. You'll thrive in an environment where your organization, professionalism, and client-focused approach help strengthen relationships and deliver a smooth, reliable client experience. Your responsibilities will include:
  • Client Relationship Management
    • Build and nurture strong, long-term client relationships.
    • Serve as the primary point of contact via email, phone, and other communication channels.
    • Deliver exceptional support to ensure satisfaction and loyalty.
    • Provide updates, guidance, and tailored recommendations aligned with each client's objectives.
    • Communicate product changes, service enhancements, and announcements.
    • Gather and share client feedback on services, products, and overall experience.
  • Sales & Growth Opportunities
    • Identify opportunities for upselling and cross-selling relevant products or services.
    • Follow up consistently with prospective clients.
  • Admin Support, Team Collaboration, Documentation & Reporting
    • Prepare monthly reports on client account performance and engagement.
    • Maintain accurate and up-to-date records of client interactions, agreements, and account activities.
    • Organize and manage all account-related documents and records.
    • Collaborate with internal teams to resolve concerns and support client success.
    • Support inventory management tasks when needed.

What You Should Have
Must-haves:
  • At least 3 years of experience in Client Support, Partnerships, Account Management, or a similar client-facing role.
  • Experience in B2B client services and upselling.
  • Familiarity with the health and wellness industry.
  • Proficiency in Google Workspace, Microsoft Office, and Trello (any project management tool experience is acceptable).
  • Experience using CRM software.
  • Demonstrated ability to accurately manage client accounts, contracts, and documentation.
  • Strong verbal and written communication skills.
  • Skilled in identifying, troubleshooting, and resolving client issues.
  • Excellent time management and organizational skills to manage multiple clients and tasks effectively.
  • Technology Specifications:
    • Minimum 50 Mbps Internet Speed
    • Windows 11 or MacOS 15 Sequoia 
    • Minimum Intel i5 8th gen with 8GB RAM or Apple M1 chip with 8GB RAM

Nice-to-haves:
  • Experience with project management tools beyond Trello.
  • Experience using Loomly for social media scheduling and content management.
  • Community growth experience within online groups or forums.
