What You'll Do As a Strategic Executive Assistant, you’ll serve as a trusted partner to a values-driven entrepreneur growing multiple ventures. Success in this role means safeguarding the CEO’s time, managing priorities, and keeping high-impact work and personal commitments aligned. You’ll handle calendars, communications, travel, and special projects — ensuring the CEO stays focused, energized, and supported. Your day-to-day responsibilities will include:
Calendar & Energy Flow:
Own the CEO’s Power Calendar, aligning deep work, client calls, fitness, and social commitments.
Reschedule and protect time for high-leverage work and emotional energy.
Email & Communication Management:
Organize and prioritize inbox for business and personal messages.
Draft and send routine communications (updates, follow-ups, confirmations).
Act as liaison for key contacts, preparing meeting agendas and updates.
Travel & Logistics Management:
Coordinate travel (flights, accommodations, itineraries) for business and personal trips.
Manage logistics for events, date nights, and errands (bookings, RSVPs, reminders).
Ensure smooth transitions between business and personal travel.
Coordinate ordering of client gifts, supplies, and/or materials, as needed.
What You Should Have Must-haves:
At least four years of experience as a high-level Executive Assistant, Chief of Staff, or Strategic Operations Coordinator—preferably supporting visionary founders or leaders in dynamic, multi-business environments.
At least one year of experience in a global remote or virtual environment for a company in North America, Europe, Australia, or the UAE.
Excellent English skills with clear writing, ability to capture tone from voice notes, and communicate with tact and nuance.
High emotional intelligence and awareness to sense shifts in energy, urgency, or intent and adjust priorities as needed.
Strong calendar management skills to coordinate priorities, reduce decision fatigue, and protect time for high-impact work.
Proficiency in Google Workspace (Docs, Gmail, Sheets, Calendar) to manage day-to-day operations, collaborate cross-functionally, and track follow-through.
Experience using AI tools (e.g., ChatGPT) to streamline content drafting, brainstorming, process improvement, or summarizing discussions into action items.
Aligned with intentional lifestyle design and entrepreneurial effectiveness, comfortable planning flow-based days that balance work, logistics, and personal goals.
Flexible with tasks, able to switch between strategy, admin, and communications while keeping things organized and moving forward.
Trustworthy and discreet when handling sensitive information, investor updates, or internal team matters.
