Job Description

Contract: Full-time Remote Contractor (160 hours monthly)

Business Hours: Has some flexibility, but work hours should fall between 6 AM and 9 PM PST, Monday through Friday.

Rate: $7.5 USD per hour (Salary to be paid on an hourly basis)

Availability to Start: September 11, 2024

Committed to radical inclusion and social justice, this organization offers performances, keynotes, panels, and workshops both virtually and in person.


What you'll do

As an Operations Virtual Assistant, you play a crucial role in ensuring the smooth functioning of both internal and client-facing activities. Your key responsibilities include managing team schedules, facilitating clear communication between the CEO and team members, and fostering a collaborative and professional team environment. The role also involves coordinating with clients and event organizers to ensure seamless performance execution, handling logistics, invoicing, and follow-ups. Additionally, you are responsible for lead generation, conducting research to identify potential donors, investors, and grant opportunities, and developing outreach strategies. Administrative duties include managing the CEO's calendar, handling email correspondence, taking meeting notes, and maintaining organizational systems and SOPs. The responsibilities include:

  • Artist and Internal Team Management:
    • Manage team schedules, including meetings, training, and performance rehearsals, accommodating diverse communication needs (email, text, calls).
    • Serve as a liaison between the CEO and team members, providing clear direction and resolving conflicts.
    • Build strong relationships with team members, emphasizing their contributions to the company's mission.
    • Build strong team dynamics and resolve conflicts while maintaining a professional and supportive environment.
  • Client and Event Management:
    • Coordinate with clients and event coordinators for seamless performance execution.
    • Ensure timely invoicing and follow-up on collections.
    • Manage on-site logistics and support for performances and workshops.
  • Lead Generation and Research:
    • Conduct in-depth research and identify and cultivate potential donor, investor, and fundraiser relationships.
    • Conduct thorough research to identify and secure grant opportunities.
    • Develop and execute creative outreach strategies to acquire new customers, donors, and performance venues, including crafting compelling outreach templates.
  • Administrative and Operational Support:
    • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
    • Take detailed notes during meetings and assist in brainstorming content ideas.
    • Handle and prioritize the CEO's email correspondence efficiently.
    • Manage communication with external stakeholders, including venues, potential clients, and partners.
    • Provide administrative support such as expense reports, data entry, and filing.
    • Contribute to building and maintaining organizational systems and Standard Operating Procedures (SOPs).


What you should have

  • MUST HAVES:
      • At least 3 years of experience as an Executive Assistant, Administrative Assistant, Chief of Staff and/or Operations Assistant.
      • At least 2 years of experience in Lead Generation, Lead Nurturing, and Sales, preferably in a remote or virtual environment for a company in the USA, Canada or UK.
      • Strong organizational and time management skills.
      • Experience in team management and coordination, preferably in a diverse, creative or arts-based environment.
      • Proficiency in Microsoft Office Suite or Google Workspace.
      • Excellent verbal and written communication skills, including a neutral North American accent.
      • Ability to work independently and as part of a team.
      • Detail-oriented with a high degree of accuracy.
      • Ability to prioritize tasks and meet deadlines.
      • Familiarity with project management tools such as Asana.
      • Familiarity with research tools like RocketReach.
  • NICE-TO-HAVES:
  • Experience providing support or services to individuals with disabilities.
  • Experience with grant and donor applications.
  • Knowledge of disability inclusion best practices.
  • Proficiency in Spanish or other languages is a plus.
  • TECHNOLOGY SPECIFICATIONS:
  • Minimum 50 Mbps Internet Speed
  • Minimum intel i5 8th gen with 8GB of RAM

  • For this role, MAC and iPhone are preferred but not required
