Job Title: Document Procurement Specialist
Reports To: AP Supervisor
Job Summary:
The Document Procurement Specialist plays a critical role in ensuring the timely and accurate processing of transportation documentation within a fast-paced logistics environment. This position leverages digital tools, workflow automation, and cross-functional communication to maintain service levels, resolve exceptions, and support overall operational efficiency
Key Responsibilities:
• Use the Transflo Workflow AI tool to manage, review, and process documentation exceptions efficiently.
• Navigate the Transportation Management System (TMS) to identify the correct load associated with incoming paperwork and ensure proper assignment.
• Communicate with front-office teams to validate load details, clarify discrepancies, and confirm documentation accuracy.
• Maintain a strict 24-hour service-level agreement (SLA) for processing all required documents.
• Escalate issues to the appropriate support teams when system errors, missing
information, or operational barriers arise.
• Identify recurring trends, root causes, and potential process improvements based
on exception patterns and workflow data.
• Log Transflo system errors and exceptions in the designated tracking sheet to
support troubleshooting and continuous improvement efforts.
Required Qualifications
• Experience in transportation, logistics, or freight operations
• Familiarity with TMS platforms and document-processing tools
• Strong attention to detail and ability to work within tight SLAs
• Analytical mindset with the ability to spot trends and recommend improvements
• Effective communication skills for cross-functional coordination
