We're open to a contract to hire or direct hire candidate. Candidates must live and work in Minnesota.

We're looking for an Operations/Admin who thrives on creating order from complexity and making people feel special. This isn't a traditional executive assistant role it's the operational heartbeat of our business.
Working directly with the CEO and our team, you'll document processes, update dashboards, be the point for vendors, gifts, swag, and our team. coordinate strategic initiatives, document operational efficiencies, and ensure the day-to-day operations of the company run seamlessly. You'll be a trusted partner who removes obstacles, keeps projects moving, and helps build the infrastructure that allows our team to grow.

Business Operations
- Maintain operational dashboards, reporting, and key business metrics.
- Document and organize internal processes to improve efficiency, productivity, and scalability.
- Coordinate schedules, meetings, company events, and calendars.
- Build and maintain strong relationships with vendors, negotiate contracts, and ensure cost-effective procurement of services and technology.
- Serve as the primary point of contact for vendors and operational partners.
- Manage office equipment, swag and company resources, coordinating repairs, maintenance, and operational needs as required.
- Support the CEO and leadership team with strategic planning, operational initiatives, and special projects.
- Support the day-to-day operational needs of a growing team while ensuring the business runs smoothly.
Process Improvement
- Continue on our quest to document, maintain and continuously improve Standard Operating Procedures (SOPs) and "How TTG Does Business" documentation.
- Research and Support implementation of new technology, automation, and operational improvements.
- Champion AI adoption across the business to improve efficiency.
- Organize and maintain an up-to-date library of company documents and resources.
- Ensure internal documentation is accurate, accessible, and current.
Project Management
- Coordinate company-wide initiatives, strategic projects, and events (we love events)!
- Help with gifts/meetings/celebrations, and marketing.
- Keep projects moving by tracking priorities, timelines, and deadlines.
- Communicate project status proactively and keep stakeholders informed.
- Identify and remove obstacles that could impact project success.
Executive Partnership
- Prepare leadership meetings, agendas, and presentation materials.
- Coordinate calendars, scheduling, travel, and logistics.
- Organize company meetings, retreats, events and gifts
- Track action items and ensure accountability through consistent follow-up.
- Anticipate needs and proactively support the CEO in driving strategic priorities.
WHAT SUCCESS LOOKS LIKE
Within your first year, you'll:
- Create greater operational consistency across True Talent Group.
- Save the team time and reduce manual work.
- Ensure reporting and dashboards are accurate, timely, and actionable.
- Improve accountability across projects and company initiatives.
- Become the trusted operational partner to the CEO.
- Are a trusted contact for vendor relationships
WHAT YOU BRING
- Experience in operations, business operations, project management, or a related role.
- Exceptional organizational and time-management skills.
- Strong experience with Microsoft 365, Excel, and business productivity tools.
- Experience using AI tools and maintaining strong data integrity.
- Familiarity with project management platforms and workflow systems.
- Excellent written and verbal communication skills.
- A proactive mindset with the ability to anticipate needs and solve problems independently.
Bonus Points If You Have
- Experience working in recruiting, staffing, or professional services.
- Knowledge of EOS (Entrepreneurial Operating System).
- Experience building dashboards and business reporting.
- Familiarity with AI tools such as ChatGPT, Microsoft Copilot, Gemini, Claude, or similar platforms.
- Event planning or business operations experience.

Salary range of $60,000$80,000 plus benefits, including a 4% 401(k) match and profit sharing.
