Title: Insurance Document Associate

Job Description:
As an Insurance Document Associate, you will be part of a collaborative team responsible for opening, evaluating, acknowledging, and distributing mail to support an assigned business unit. You will examine incoming mail to ensure it reaches the correct destination, rerouting any misdirected items as needed. Following established guidelines, you will officially identify and acknowledge receipt of all incoming mail, reporting details to the underwriter, verifying required information, and completing associated documentation. You’ll also be responsible for escalating any issues or exceptions to the Team Leader or Manager when appropriate.
Key Responsibilities:
Underwriting, DI Benefit Document & Mail Document Preparation/Classifying (30%)
Complete document review and audits for underwriting and/or claims using detailed procedures.
Identify, analyze, and sort various applications and documents across all product lines.
Recognize and reroute misdirected or incorrect forms.
Prepare and organize documents with appropriate ID sheets for scanning.
Meet all established service level agreements (SLAs).
Process check types (e.g., 1035 and premium checks) using appropriate systems or route to relevant departments.
Use systems to identify and index DI benefits mail and other related correspondence.
Manual Indexing, Quality Assurance (QA), and Fax Processing (40%)
Review and audit documents auto-classified/indexed by the system, correcting any errors.
Manually index unclassified documents and ensure proper classification, indexing, and policy matching.
Ensure all scanned images are legible and usable.
Access and manage documents from fax queues, ensuring efficient electronic preparation and classification.
Maintain compliance with SLAs for all processed documents.
Document Scanning, Support Services, and Testing (15%)
Perform accurate and consistent document scanning while ensuring high image quality.
Maintain scanner equipment and troubleshoot issues.
Handle re-scans, research unidentifiable mail, and respond to original document requests.
Participate in system testing and audits to validate classification and scanning improvements.
Miscellaneous Duties (15%)
Maintain and ship documents to the Records Center.
Open application, DI Benefits, and post-approval pouch mail.
Respond to inquiries related to rescans and document retrievals.
Monitor LAN systems and perform other tasks assigned by leadership.
Requirements:
High school diploma or equivalent required.
1–2 years of experience in mail handling or customer service.
Strong organizational and time-management skills.
High level of accuracy and ability to thrive in a fast-paced environment.
Basic PC proficiency.
Ability to work independently while following established policies and procedures.
Strong teamwork and communication skills.
Ability to handle confidential information appropriately.
Comfortable multi-tasking and navigating multiple systems.
Must be able to lift 15–20 lbs regularly.
Non-registered fingerprinted (as applicable to role requirements).
