FULL DESCRIPTION: We are seeking a Client Services Coordinator to provide high-volume phone, email, administrative, and client support within a professional financial services environment. This temp-to-perm opportunity will be responsible for responding to client inquiries, managing daily and cyclical administrative tasks, maintaining accurate records, preparing correspondence, working with company databases and document-management platforms, and supporting internal team members with assigned projects. The ideal candidate will have professional call center or high-volume customer service experience, strong written communication skills, excellent organization, and the ability to remain patient and professional when handling difficult or time-sensitive interactions.

The selected candidate will be responsible for:

  • Answering incoming calls from clients, property owners, representatives, and other external contacts
  • Responding to client and property owner requests by email
  • Providing professional, courteous, and accurate customer service throughout each interaction
  • Handling difficult or frustrated callers using patience, professionalism, active listening, and effective de-escalation techniques
  • Researching information within company databases and working files to respond to inquiries accurately
  • Completing recurring and cyclical administrative tasks throughout the year
  • Completing daily assignments requested by management and other staff members
  • Managing multiple assignments through effective organization, prioritization, and attention to detail
  • Communicating effectively with internal staff members, clients, property owners, and industry contacts
  • Using active listening skills to understand requests, clarify information, and determine appropriate next steps
  • Drafting professional letters, memoranda, emails, and other business correspondence
  • Preparing and mailing correspondence and documentation
  • Printing, collating, organizing, and distributing forms, mailings, and other materials
  • Performing accurate data entry
  • Maintaining periodic logs, trackers, and administrative records
  • Reviewing and scrubbing electronic files and data as required
  • Converting, downloading, and uploading electronic files
  • Working with document-management and file-sharing platforms such as SharePoint, Box, Simplifile, or similar systems
  • Using Microsoft Word, Excel, and Outlook to complete daily assignments
  • Maintaining accurate and organized electronic and physical records
  • Following established procedures, policies, and departmental workflows
  • Monitoring assigned projects, responsibilities, and deadlines through completion
  • Assisting other staff members with delegated assignments and projects
  • Adapting to shifting priorities while maintaining accuracy and responsiveness
  • Taking ownership of assigned responsibilities and following through on commitments
  • Contributing positively to a collaborative and team-oriented work environment
  • Performing other client service and administrative duties as assigned

The selected candidate will also possess:

  • Previous professional call center or high-volume customer service experience required
  • Experience handling a high volume of phone and email communication required
  • Professional customer service experience outside of a retail-only environment strongly preferred
  • Experience managing difficult callers and challenging customer interactions required
  • Demonstrated de-escalation skills required
  • Excellent verbal communication and active listening skills required
  • Strong written communication skills required
  • Excellent grammar, spelling, and proofreading abilities required
  • Strong typing and data-entry skills required
  • Microsoft Word proficiency required
  • Microsoft Excel proficiency required
  • Microsoft Outlook proficiency required
  • Experience with SharePoint, Box, Simplifile, or similar document-management platforms preferred
  • Strong organizational skills required
  • Strong attention to detail and accuracy required
  • Ability to manage multiple assignments and deadlines simultaneously
  • Strong time-management skills required
  • Ability to work effectively within a fast-paced environment
  • Ability to take initiative and complete tasks with appropriate independence
  • Ability to accept constructive feedback and apply it effectively
  • Strong accountability and follow-through required
  • Consistent punctuality and dependable attendance required

  • Ability to work Monday through Friday from 8:00 AM to 5:00 PM

Physical Requirements:

  • Ability to sit and work at a computer for extended periods while responding to emails, entering data, reviewing records, and completing administrative assignments
  • Ability to communicate by telephone, email, and in person throughout the workday
  • Ability to use hands and fingers for typing, data entry, filing, scanning, document preparation, and standard office tasks
  • Ability to review spreadsheets, correspondence, electronic records, databases, forms, and computer screens for extended periods
  • Ability to occasionally stand, walk, bend, reach, and move throughout the office as needed
  • Ability to occasionally lift, carry, or move standard files, documents, mailings, office supplies, and other lightweight office materials
  • Ability to perform repetitive computer, telephone, and document-processing tasks throughout the workday
  • Ability to maintain professionalism, focus, accuracy, and attention to detail while managing high volumes of phone calls, emails, and administrative requests
