FULL DESCRIPTION: We are seeking a dependable and detail-oriented Data Entry Specialist to support purchasing, customer order entry, and general administrative operations within a fast-paced aerospace and defense-related environment. This temp-to-hire role is responsible for entering and maintaining purchase orders, customer orders, vendor information, pricing, shipping dates, and delivery information while ensuring records remain accurate and up to date for Purchasing, Finance, and Operations. The ideal candidate will be highly organized, comfortable wearing multiple hats, able to take direction, and capable of keeping up with changing priorities while maintaining excellent accuracy.
The selected candidate will be responsible for:
- Entering customer orders, purchase orders, requisitions, and order changes accurately and on time
- Maintaining vendor master records, including contact information, payment terms, and pricing
- Updating item catalogs, unit costs, lead times, shipping dates, and inventory-related information
- Tracking purchase order and customer order status
- Updating records with vendor confirmations, shipping notices, and delivery dates
- Communicating relevant shipping and order status information to internal team members
- Matching purchase orders against packing slips, receiving reports, and invoices
- Identifying and escalating discrepancies in pricing, quantities, receiving information, or documentation
- Processing and organizing purchasing documents in electronic and paper formats
- Running routine reports and reviewing purchasing data for accuracy
- Auditing records for errors, duplicate entries, or missing information
- Responding to internal requests for purchasing and order documentation
- Supporting Buyers and Purchasing Management with administrative tasks
- Maintaining accurate and organized purchasing, vendor, and order records
- Supporting general office and administrative responsibilities as needed
- Following company procedures regarding confidentiality, data security, and record retention
- Performing other duties as assigned
The selected candidate will also possess:
- 2+ years of data entry, administrative, purchasing, or related experience required
- High school diploma or equivalent required
- Associate degree or coursework in Business, Accounting, Supply Chain, or a related field preferred
- Strong Microsoft Excel skills required
- Ability to sort, filter, and use basic Excel formulas preferred
- Microsoft Outlook and Word proficiency required
- Strong computer and data-entry skills required
- Excellent attention to detail and accuracy required
- Ability to identify errors in numerical and written information
- Strong organizational and time-management skills required
- Ability to take direction and follow established procedures
- Ability to multitask and manage changing priorities effectively
- Strong written and verbal communication skills required
- Reliable and dependable work ethic required
- Familiarity with ERP systems such as SAP, Oracle, NetSuite, QuickBooks, or similar platforms preferred
- Knowledge of purchasing terminology such as purchase orders, RFQs, SKUs, and three-way matching preferred
- Experience in manufacturing, distribution, aerospace, defense, or related environments preferred
- Ability to work independently and as part of a small, fast-paced team
- Ability to successfully complete required pre-employment background screening
- Ability to work onsite in Santa Clarita, CA
- Ability to work Monday through Friday from 7:30 AM to 4:00 PM
- Ability to support a temp-to-hire opportunity
Physical Requirements:
- Ability to sit and work at a computer for extended periods while entering and reviewing purchasing, order, and administrative data
- Ability to use hands and fingers for typing, data entry, filing, document handling, and standard office tasks
- Ability to review spreadsheets, purchase orders, customer orders, invoices, vendor records, reports, and computer screens for extended periods
- Ability to communicate by phone, email, and in person throughout the workday
- Ability to occasionally stand, walk, bend, reach, and move throughout office or operational areas as needed
- Ability to occasionally lift, carry, or move standard office files, documents, or supplies
- Ability to maintain accuracy, focus, confidentiality, and attention to detail while completing repetitive data-entry and administrative tasks
Salary Range: $24 to $26/hour
