FULL DESCRIPTION: We are seeking a Chart Prep Coordinator to support medical chart preparation, scheduling coordination, EMR updates, documentation, filing, and administrative support in a medical office environment. This role is responsible for preparing and updating paper and digital patient charts, supporting appointment scheduling and follow-up communication, assisting with workers' compensation case status inquiries, formatting and filing deposition-related documentation, and providing updates to doctors, attorneys, and internal teams as requested. The ideal candidate will have strong administrative and data entry skills, medical scheduling or heavy phone customer service experience, working knowledge of medical terminology, and excellent attention to detail.
The selected candidate will be responsible for:
- Preparing, updating, and maintaining paper and digital patient charts
- Updating patient chart information in the EMR system
- Reviewing chart information for accuracy and completeness
- Supporting medical scheduling and appointment coordination
- Fielding incoming calls related to appointments and follow-ups
- Providing follow-up support regarding workers' compensation case status
- Scheduling patient appointments
- Booking reschedules and cancellations as needed
- Supporting the Deposition department with deposition formatting and filing
- Providing updates to doctors, attorneys, and internal team members as requested
- Maintaining organized medical files and documentation
- Entering and updating patient, appointment, and case information accurately
- Communicating professionally with patients, doctors, attorneys, and internal departments
- Handling sensitive and confidential medical information appropriately
- Supporting general administrative and filing needs
- Performing other duties as assigned
The selected candidate will also possess:
- Medical office experience preferred
- Medical scheduling experience preferred
- Heavy phone customer service experience preferred
- Chart preparation or medical records experience preferred
- Administrative and filing experience required
- Strong data entry skills required
- Working knowledge of medical terminology required
- Good spelling, grammar, and punctuation skills required
- Ability to update paper and digital patient charts accurately
- EMR experience preferred
- Workers' compensation experience preferred
- Deposition formatting or legal/medical documentation experience preferred
- Strong attention to detail required
- Strong written and verbal communication skills required
- Ability to communicate professionally with doctors, attorneys, patients, and internal staff
- Ability to manage changing priorities required
- Ability to maintain confidential and sensitive information required
- Bilingual English/Spanish skills a plus
- Ability to work onsite in Redlands, CA
Physical Requirements:
- Ability to sit and work at a computer for extended periods while updating charts, entering data, reviewing records, scheduling appointments, and completing administrative tasks
- Ability to communicate by phone, email, and in person throughout the workday
- Ability to use hands and fingers for typing, filing, scanning, formatting documents, chart preparation, EMR updates, and standard office tasks
- Ability to review patient charts, medical records, appointment information, case notes, deposition documents, EMR screens, and computer screens for extended periods
- Ability to occasionally stand, walk, bend, reach, and move throughout the office as needed
- Ability to occasionally lift, carry, or move standard office files, charts, documents, supplies, or small materials as needed
- Ability to maintain accuracy, confidentiality, professionalism, and attention to detail while supporting medical chart preparation and administrative functions
