FULL DESCRIPTION: We are seeking a Supplemental Coordinator to support appointment scheduling, worker's compensation case follow-up, patient chart updates, and administrative support within a medical office environment. This role is responsible for handling incoming calls, scheduling and rescheduling patient appointments, maintaining paper and electronic medical records, supporting deposition formatting and filing, and providing updates to doctors and attorneys as requested. The ideal candidate will have medical scheduling experience, strong administrative skills, accurate data entry abilities, and professional phone communication skills.
The selected candidate will be responsible for:
- Fielding incoming calls for appointments and follow-ups regarding worker's compensation case status
- Scheduling patient appointments
- Booking reschedules and cancellations as needed
- Updating paper patient charts
- Updating digital patient charts in the EMR system
- Supporting the Deposition department with deposition formatting and filing
- Providing updates to doctors and attorneys as requested
- Maintaining accurate patient information and administrative documentation
- Supporting filing, chart maintenance, and general administrative needs
- Communicating professionally with patients, doctors, attorneys, and internal staff
- Performing data entry accurately and efficiently
- Supporting daily medical office workflow as assigned
- Performing other duties as assigned
The selected candidate will also possess:
- Medical scheduling experience required
- Experience with heavy phone-based customer service preferred
- Bilingual Spanish skills strongly preferred
- Strong administrative background
- Strong filing background
- Strong data entry skills
- Working knowledge of medical terminology
- Good spelling, grammar, and punctuation skills
- Experience updating paper or electronic medical records preferred
- EMR experience preferred
- Ability to communicate professionally by phone and email
- Strong attention to detail and accuracy
- Ability to manage reschedules, cancellations, and appointment follow-up
- Ability to handle confidential patient information appropriately
- Ability to work onsite in Redlands, CA
Physical Requirements:
- Ability to sit and work at a computer for extended periods
- Ability to communicate by phone, email, and in person throughout the workday
- Ability to review patient charts, appointment details, case status updates, deposition documents, EMR records, and computer screens for extended periods
- Ability to use hands and fingers for typing, data entry, filing, scanning, chart updates, and standard office tasks
- Ability to occasionally stand, walk, bend, reach, and move throughout the office as needed
- Ability to occasionally lift, carry, or move standard office files, charts, documents, or supplies
Salary Range: $18 to $19/hour DOE
