About the Role
We are seeking a sharp, resourceful Executive Assistant to provide proactive, hands-on support to our senior leadership team. This is a key role within a fast-paced, high-growth organization where precision, organization, and discretion are essential. The ideal candidate will act as the central hub for coordination, communication, and execution ensuring leaders stay focused on strategic priorities while day-to-day operations run seamlessly.

This position requires a confident professional who can manage complex schedules, anticipate needs, and handle sensitive information with absolute confidentiality. You’ll serve as the bridge between leadership and the wider organization, creating structure, clarity, and efficiency in every interaction.

Responsibilities

Executive Support & Coordination

Provide direct administrative and operational support to the CEO and executive leadership.

Manage dynamic calendars, coordinate meetings, and ensure optimal use of leadership time.

Anticipate upcoming needs and prepare relevant materials, briefs, and agendas.

Handle confidential correspondence, documents, and discussions with the highest level of discretion.

Arrange and manage complex travel itineraries (domestic and international) including flights, accommodations, and logistics.

Serve as the first point of contact for internal and external partners, ensuring communication is timely and professional.

Meeting & Communication Management

Organize and execute high-level meetings, including leadership sessions, board meetings, and department check-ins.

Draft and proofread executive communications, presentations, and reports to ensure clarity and alignment with company messaging.

Record action items and follow-ups, driving accountability and follow-through across teams.

Prepare concise summaries and updates to keep executives informed of critical priorities and project statuses.

Operational Excellence & Collaboration

Partner with HR, Finance, and Operations to ensure alignment between leadership initiatives and organizational priorities.

Assist with special projects, events, and strategic initiatives as assigned by leadership.

Improve and maintain internal systems and processes that support executive productivity.

Help build an environment of trust, organization, and collaboration throughout the company.

Qualifications

Experience & Skills

Minimum 3 years of experience providing executive-level administrative support in a fast-paced, professional environment.

Proven ability to manage complex calendars and travel schedules for senior executives.

Exceptional written and verbal communication skills with strong attention to detail.

Strong problem-solving abilities and a proactive, forward-thinking approach.

Advanced proficiency with Microsoft Office 365, Teams, and productivity tools such as Concur, DocuSign, or Monday.com.

Excellent organizational and multitasking skills with the ability to adapt quickly to changing priorities.

Education

Bachelor’s degree in Business Administration, Communications, or a related field preferred. Equivalent experience will be considered.
