Position Overview

The Operations Coordinator works closely with the property management team, providing essential day-to-day operational, administrative, and tenant support.

This role contributes directly to the smooth and efficient functioning of supporting operations, financial tracking, and tenant coordination in a fast-paced retail environment.


Key Responsibilities

  • Maintain accuracy of administrative, lease, and accounting documents (billing, reimbursements, etc.)
  • Support accounts receivable processes, including deposits and invoice tracking
  • Coordinate tenant requests (repairs, access, keys, storage, etc.)
  • Track sales, traffic data, and contribute to monthly reporting
  • Process invoices in Concur and ensure proper approvals and follow-ups
  • Coordinate tenant move-ins and move-outs and ensure procedural compliance
  • Monitor lease obligations, insurance certificates, and key deadlines
  • Support budgeting processes (OPEX and revenues)
  • Prepare work orders and ensure proper follow-up
  • Draft and coordinate tenant communications (French & English)

Additional Responsibilities

  • Support CMMS data entry related to equipment repairs
  • Monitor electricity meter readings for tenant rebilling
  • Assist with front desk reception when required
  • Collaborate with internal teams to ensure operational efficiency

Desired Candidate Profile

  • College diploma in administration, real estate, or related field
  • 2–3 years of experience in a similar operations or property management role
  • Bilingual (French & English) – spoken and written
  • Strong proficiency in MS Office (Excel, PowerPoint)
  • Excellent communication and interpersonal skills
  • Strong organizational, analytical, and problem-solving abilities
  • Detail-oriented with the ability to manage multiple priorities
  • Comfortable working with financial data and accounting processes
  • Experience interpreting commercial leases (asset)
  • Knowledge of Yardi (asset)
