Position Overview
The Operations Coordinator works closely with the property management team, providing essential day-to-day operational, administrative, and tenant support.
This role contributes directly to the smooth and efficient functioning of supporting operations, financial tracking, and tenant coordination in a fast-paced retail environment.
Key Responsibilities
- Maintain accuracy of administrative, lease, and accounting documents (billing, reimbursements, etc.)
- Support accounts receivable processes, including deposits and invoice tracking
- Coordinate tenant requests (repairs, access, keys, storage, etc.)
- Track sales, traffic data, and contribute to monthly reporting
- Process invoices in Concur and ensure proper approvals and follow-ups
- Coordinate tenant move-ins and move-outs and ensure procedural compliance
- Monitor lease obligations, insurance certificates, and key deadlines
- Support budgeting processes (OPEX and revenues)
- Prepare work orders and ensure proper follow-up
- Draft and coordinate tenant communications (French & English)
Additional Responsibilities
- Support CMMS data entry related to equipment repairs
- Monitor electricity meter readings for tenant rebilling
- Assist with front desk reception when required
- Collaborate with internal teams to ensure operational efficiency
Desired Candidate Profile
- College diploma in administration, real estate, or related field
- 23 years of experience in a similar operations or property management role
- Bilingual (French & English) spoken and written
- Strong proficiency in MS Office (Excel, PowerPoint)
- Excellent communication and interpersonal skills
- Strong organizational, analytical, and problem-solving abilities
- Detail-oriented with the ability to manage multiple priorities
- Comfortable working with financial data and accounting processes
- Experience interpreting commercial leases (asset)
- Knowledge of Yardi (asset)
