About the Opportunity
Stone Bridge Personnel is seeking a dedicated Administrative Assistant for our client in Tyler, Texas. This role offers an exciting opportunity to support the smooth operation of a fast-paced and friendly financial planning office, working as an employee of an independent advisor franchisee with a financial advisory practice of Ameriprise Financial.
Position Overview
As an Administrative Assistant, you will play a crucial role in supporting daily business operations, allowing advisors to focus their time and energy on client acquisition and deepening client relationships. This position directly ties to the overall business plan of the practice and provides advisors with the assurance that their practice is being maintained and supported within Ameriprise Financial guidelines.
Key Responsibilities
Client Support & Communication
- Prepare correspondence for advisor signature
- Prepare applications for client signature (new accounts and existing account servicing)
- Conduct client appointment reminder calls and check-in calls on follow-up items
- Answer incoming calls from clients and prospects, routing to appropriate team members
- Answer questions and provide readily available information to clients as it relates to servicing their accounts
- Greet clients upon arrival and extend hospitality
- Document client contacts and calls
- Write notes or letters to clients on personal letterhead of administrative nature only
Administrative Operations
- Work with home office to ensure accurate account setup and resolve issues
- Copy and track all client and practice materials including business correspondence
- Maintain files and records in accordance with records retention policy
- Set up and maintain client management system
- Manage business-as-usual projects such as filing, copying, and ordering office supplies
- Organize logistics of client appreciation events
- Track client special events and make appropriate contact per established client contact model
Marketing & Business Development Support
- Company website updates
- Basic search engine optimization
- Support charitable events
- Recognize client life events (retirement, birth of a child, etc.)
- Administer client appreciation initiatives
Compliance & Operations
- Perform other allowable duties as assigned by the financial advisor(s)
- Adhere to rules and regulations as stated and required by advisor and Ameriprise
- Support and provide guidance for compliance within the advisor's practice
Required Qualifications
Education & Experience
- Business Degree/Business Major preferred (Finance preferred)
- Minimum 3 years of business experience
Technical Skills
- Strong organization and computer skills
- Advanced proficiency in Microsoft Office & Windows 10

Additional Requirements

Work Schedule
Hours: Monday - Friday, 8:00 AM - 5:00 PM
