Location: Hybrid (Minimum 3 days in office per week)
Duration: 6-Month Contract
Pay Rate: Up to $22-23/hour
Staffworks is currently seeking two (2) Licensing Administrative Representatives to support our client's Licensing team. This role is ideal for detail-oriented professionals who excel in administrative processes, customer service, and working within structured regulatory environments. You will play a key role in supporting applicants throughout the licensing process while ensuring accuracy, compliance, and confidentiality.
Provide professional and courteous customer service to applicants, including responding to inquiries and offering guidance and support throughout the licensing process
Communicate application/file status to applicants, including submission deadlines, status updates, withdrawals, and file closures
Review and assess applicant documentation for completeness and accuracy; request additional information where required
Verify documentation against defined standards to determine eligibility for progression to the next stage of assessment
Perform accurate and timely data entry, ensuring all applicant records are complete, up to date, and maintained with strict confidentiality
Collaborate with the Team Lead, Senior Representative, and team members to ensure consistency and standardization of processes
Identify and proactively report issues or discrepancies requiring resolution
Post-secondary education in Business, Public Administration, or a related field
3–5 years of relevant administrative or customer service experience
Experience working in structured, process-driven environments is preferred
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Excellent customer service and interpersonal skills
High attention to detail with a strong focus on accuracy and data integrity
Clear and professional written and verbal communication skills
Ability to work both independently and collaboratively within a team environment
Strong organizational skills with the ability to manage multiple tasks and deadlines
Demonstrates discretion, tact, and sound judgment when handling confidential information
Proactive mindset with the ability to identify and escalate issues effectively
Familiarity with Aptify (registration database) and Applicants module is considered an asset
