Reporting to the Manager, Intake and Compliance, the Intake Coordinator is responsible for receiving, processing, and triaging complaints and reports related to professional regulation matters. This role plays a critical part in ensuring regulatory compliance, maintaining confidentiality, assessing risk, and supporting statutory obligations within a regulatory environment.
This position is ideal for professionals with regulatory or compliance experience who are detail-oriented, exercise sound judgment, and are comfortable handling sensitive and sometimes emotionally charged matters.
Receive, process, and triage incoming complaints, employer reports, registration disclosures, and unauthorized practice matters
Review and assess information in accordance with established intake protocols to identify risk and determine appropriate next steps
Flag matters requiring managerial review, interim actions, or file closure at intake
Follow up with external stakeholders (e.g., employers, complainants, ministries, police services, courts) to obtain additional or clarifying information
Prepare clear, accurate summaries of intake materials for management review
Draft and issue correspondence and notifications, ensuring appropriate redaction and confidentiality standards are met
Respond to inquiries from the public, regulated members, employers, unions, and government bodies regarding regulatory processes
Perform case management activities including opening and closing files, organizing electronic records, updating case management systems, and supporting reporting on trends and emerging risks
Stay current with applicable legislation, regulatory standards, and best practices
Completion of a two-year college diploma or equivalent education
1–3 years of experience in a regulatory, compliance, or professional governance setting (required)
Demonstrated understanding of regulatory frameworks, statutory obligations, and confidentiality requirements
Strong written communication skills with the ability to prepare accurate summaries, documentation, and correspondence
Excellent verbal communication and listening skills to engage with diverse and sometimes distressed stakeholders
Strong judgment, discretion, and neutrality when handling sensitive information
High attention to detail, time management skills, and ability to meet statutory timelines
Ability to work independently in a fully remote environment while contributing effectively to a team
