Administrative Coordinator (2 Positions)
Compensation: $51,745.00 – $54,788.40 annually
Employment Type: Full-time, Contract
Location: 100% remote
We are seeking two highly organized and detail-oriented Administrative Coordinators to support the Professional Regulation department. This role provides essential administrative and case management support related to complaints, registration appeals, and informal resolutions. The successful candidates will play a key role in maintaining accurate records, supporting committee operations, and ensuring confidentiality and professionalism in all interactions.
Support case management processes at the intake and investigation stages
Distribute Complaints Committee and Registration Appeals Committee decisions and informal resolution outcomes in accordance with confidentiality and departmental protocols
Set up, review, and maintain electronic case files in line with policies and directives
Conduct follow-up inquiries with complainants, members, Child Care Centres, the Ministry of Education, police services, CAS, and courts as directed
Coordinate and request French translations for case materials and decisions as required
Provide administrative support to the Complaints Committee and Registration Appeals Committee, including panel coordination and scheduling
Prepare, upload, and manage meeting materials, investigation files, appeal files, and agendas
Assist with follow-up activities, including posting draft decisions for panel review and approval
Assist in the collection, monitoring, and analysis of departmental data
Complete case management activities such as closing files and updating electronic records and systems
Stay current on relevant legislation, trends, and professional practices
Completion of a two-year college program
1–3 years of experience in office administration
Intermediate to advanced proficiency in Microsoft Word, Excel, PowerPoint, and related office tools
Strong organizational, time-management, and prioritization skills with high attention to detail
Ability to multitask and self-manage in an environment with changing priorities
Strong listening, verbal communication, and relationship-building skills
Professional judgment, discretion, and neutrality when handling sensitive and confidential information
Tact, diplomacy, and resilience when communicating with occasionally frustrated or emotionally charged individuals
Office-based role with limited physical demands
Occasional exposure to sensitive or distressing case materials
