(Full-Time, 1-Year Contract)

Location: Toronto, Ontario
Job Type: Full-Time, 1-Year Contract
Salary: $50,000 per year
Schedule: Monday–Friday, 8:30 a.m. – 5:00 p.m.


Position Overview

We are seeking a professional, organized, and customer-focused Administrative Assistant to support the daily operations of our organization. This role is ideal for an experienced administrative professional who enjoys being the first point of contact and thrives in a fast-paced, collaborative environment.


Key Responsibilities

  • Greet and assist visitors, students, parents, and callers in a professional and welcoming manner

  • Answer and route incoming calls and emails; respond to general inquiries

  • Provide administrative support to leadership, senior management, finance, and program teams

  • Maintain office procedures, records, and filing systems

  • Coordinate meetings, schedules, events, and appointments

  • Prepare documents, reports, and data for ongoing projects

  • Maintain an organized reception area and shared office spaces

  • Support internal events, meetings, and training sessions as required

  • Act as a professional ambassador for the organization at all times


Required Qualifications

  • Secondary school diploma required

  • Minimum 5 years of experience in an administrative or office support role

  • Previous experience in reception or customer service

  • Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Teams)

  • Experience using phone systems and online collaboration tools

  • Excellent written and verbal communication skills

  • Strong organizational skills and attention to detail

  • Ability to work independently and take initiative


Preferred Qualifications

  • Post-secondary education in business administration, office administration, or a related field

  • Experience working in an educational, healthcare, or service-oriented environment

  • Experience with SharePoint, PDF forms, or document management systems

  • Familiarity with school or organizational management systems

  • Understanding of accessibility or inclusive environments


Work Conditions & Benefits

  • 40 hours per week, with occasional additional hours for events or meetings

  • Salary: $50,000 per year
