SUMMARY:
The Examination Administration Coordinator supports the delivery of performance-based examinations across multiple locations. This role helps ensure secure, consistent, and high-quality exam delivery through policy support, coordination with exam sites, and ongoing quality assurance. The position also works closely with exam centre teams and supports roles involved in accommodations and exam operations.
Exam Administration & Centre Support
Maintain and update exam administration policies and procedures.
Support exam centre staff to ensure exams are delivered according to established standards.
Assist with exam-day operations, communications, and troubleshooting logistical issues.
Training Coordination
Organize onboarding and training logistics for exam centre personnel.
Prepare and distribute training materials, resources, and tools.
Support webinars, orientations, and follow-up communications.
Candidate Accommodations
Communicate with exam centres on implementing approved accommodations.
Coordinate tasks, tools and documentation needed for accommodation delivery.
Ensure accommodations are implemented accurately and in line with policy.
Resource Development & Communications
Contribute to training and communication materials for exam staff and candidates.
Support internal coordination related to performance exam operations.
Post-Exam & Quality Assurance
Collect and summarize feedback, incident reports and documentation from exam centres.
Support follow-up communications to clarify details or address issues.
General Duties
Support quality improvement initiatives and special projects.
Perform additional duties as required to support secure and efficient exam operations.
Bachelor’s degree preferred, or a combination of education and relevant experience.
Experience with examination administration, ideally with performance-based exams (e.g., OSCE-type formats).
Strong coordination, organization, and attention to detail.
Excellent English communication skills, both written and verbal.
Ability to work independently, use sound judgment, and adapt to changing procedures.
Proficient in Microsoft Office and general computer applications.
Professional, reliable, and able to maintain strict confidentiality.
French proficiency and project coordination experience are assets.
Primarily office-based with extended periods of computer work.
Occasional light physical effort (e.g., transporting materials).
Travel to exam centres may be required, including some evenings or weekends.
Ability to work longer days and overtime during peak periods.
Strict confidentiality and security of exam materials is required at all times.
