Job Description

Position Title: Accounts Payable Administrator, Primarily IN-OFFICE  

Our Ontario Crown Corporation client requires an immediate, experienced AP Administrator for a minimum of 4 months to help manage a large volume of work. 

Purpose:

This role supports financial operations by maintaining documentation, resolving discrepancies, and providing consultation services to internal and external partners. The position contributes to the integrity of IO’s financial systems and supports continuous improvement in accounts payable practices. 

Job Responsibilities

  • Record and verify vendor invoices using IO’s accounting systems (GP and DocLink). 
  • Track and follow up on invoices pending approval, ensuring compliance with Delegation of Authority. 
  • Investigate and resolve outstanding balances and discrepancies in a timely manner. 
  • Prepare cheque payments and electronic funds transfers, maintaining accurate registers. 
  • Collaborate with procurement and business units to resolve purchase order issues. 
  • Respond to vendor and employee inquiries using system data to verify payment status. 
  • Compile monthly accounts payable reports and ad hoc analysis for senior management. 
  • Monitor invoice status (e.g., parked, open) and follow up with business units. 
  • Train new users on systems and procedures, and provide guidance on expenditure policies. 

Education, Experience, and Skills

  • A few years experience in accounts payable or receivable roles. 
  • Knowledge and appreciation of accounting principles and auditing routines. 
  • Experience working with ERP systems; familiarity with Great Plains is considered an asset. 
  • Strong organizational skills to manage priorities and meet deadlines. 
  • Excellent communication and service skills to build positive relationships with key partners. 
  • Analytical skills to identify and resolve data inconsistencies. 
  • Proficiency in Microsoft Office and accounting software. 
  • Attention to detail and commitment to accuracy. 
  • Relevant professional learnings in accounting or financial administration.
