The successful candidate will support all aspects of event planning and execution, with a focus on leveraging event management software to deliver high-quality experiences. Key responsibilities include:
Scoping projects and recommending customized event and survey solutions.
Creating and managing event websites and registrations through event management platforms.
Configuring and processing payments within the event management system.
Developing and managing event apps.
Running and analyzing reports before, during, and after events.
Manipulating and organizing data to support event operations and reporting.
Coordinating with internal departments to align event activities.
Designing engaging and interactive registration experiences.
Troubleshooting and resolving technical registration issues.
Maintaining reports, dashboards, and portals as required.
Building multi-session and umbrella events within event software programs.
Designing surveys and evaluations to measure event effectiveness.
The candidate will also collaborate with external stakeholders such as venues, hotels, and restaurants, exercising discretion and professionalism when sharing information. Flexibility to work overtime during events is expected.
Minimum of three (3) years’ experience using event management software, preferably Cvent, for both small- and large-scale events (e.g., meetings, training sessions, webinars, virtual events, event apps, evaluations, and surveys).
Proficiency in Microsoft Office Suite (intermediate level or higher), with strong Excel skills.
At least three (3) years of senior administrative support experience.
Strong data management skills, including the ability to manipulate raw event data to produce event materials (e.g., name tags, attendance and expense tracking, reimbursement reports).
Experience configuring digital check-in with QR codes and managing event communications through platforms such as Cvent.
Ability to configure and manage payment pathways for event programs.
Strong record-keeping abilities, including management of registration data, supplier contracts, meeting materials, procurement documents, and inventory.
Proven organizational skills with the ability to manage multiple assignments, work across departments, and meet both short-term deadlines and long-term planning objectives.
Excellent communication, interpersonal, and organizational skills, demonstrating diplomacy, tact, and professionalism.
Ability to handle difficult situations with empathy, patience, and professionalism.
Demonstrated ability to work accurately and efficiently under pressure.
Creativity and initiative to work independently as well as collaboratively in a team environment.
Broad knowledge of and experience in event planning and execution using event software, specifically Cvent.
Knowledge of the hospitality industry, including venues, catering, and vendor management.
Certification in Cvent is considered a strong asset.
Postsecondary education in Event Management, Hospitality, Business Administration, or a related field is an asset.
