Job Description

SOLTECH is seeking a friendly, organized, and detail-oriented Part-Time Accounts Receivable & Collections Coordinator for our client, an established investigative research firm serving law firms and corporate clients nationwide.

This position is ideal for someone who enjoys communicating with people, resolving administrative issues, and keeping processes organized. The primary focus is following up on outstanding client invoices, identifying reasons for payment delays, and ensuring timely resolution while maintaining positive client relationships.

Previous collections experience is not required. We are looking for someone with strong communication skills, attention to detail, and the ability to manage follow-up activities independently. Experience in a law firm, professional services environment, or accounts receivable function would be beneficial.

This is an onsite, part-time opportunity with the potential to grow into a full-time position with expanded responsibilities. Candidates who prefer to remain part-time are also encouraged to apply.

Key Responsibilities

Client Communication & Collections Follow-Up

  • Proactively contact clients regarding outstanding invoices through professional, courteous phone and email communication.

  • Investigate common payment delays, including overlooked invoices, incorrect billing contacts, missing documentation, and administrative discrepancies.

  • Work with client accounting departments and accounts payable contacts to clarify invoice status and anticipated payment dates.

  • Maintain accurate records of client conversations, payment commitments, and required follow-up activities.

  • Consistently follow up on outstanding invoices until payment issues are resolved.

  • Coordinate with internal senior managers when additional assistance or escalation is needed.

  • Build and maintain positive working relationships with clients throughout the collections process.

Accounts Receivable & Administrative Support

  • Use QuickBooks, internal case management software, and existing reports to research outstanding invoices and identify appropriate contacts.

  • Monitor accounts receivable aging reports and prioritize follow-up activities.

  • Assist with researching billing discrepancies and payment questions.

  • Maintain organized tracking records and provide updates on collection activities.

  • Support routine accounts receivable and accounting administration as needed.

  • Collaborate with the accounting team to ensure accurate information and timely resolution of outstanding items.

Required Qualifications

  • Strong verbal and written communication skills, with the ability to interact professionally and diplomatically with clients.

  • Excellent organizational skills, attention to detail, and consistent follow-through.

  • Comfortable making outbound phone calls and following up on outstanding invoices.

  • Ability to investigate issues, gather information, and coordinate solutions.

  • Self-motivated and able to manage multiple priorities with limited supervision.

  • Comfortable learning and working with accounting software, internal systems, and reports.

  • Ability to work onsite in Alpharetta, Georgia, three days per week.

Preferred Qualifications

  • Experience in accounts receivable, billing, collections, or accounting administration.

  • Previous experience working in a law firm, professional services organization, or other client-focused business environment.

  • Familiarity with QuickBooks or similar accounting software.

  • Experience using Microsoft Excel and maintaining administrative tracking reports.

  • Experience communicating with corporate accounting or accounts payable departments.

What Success Looks Like

The successful candidate will:

  • Establish a consistent and organized process for following up on outstanding invoices.

  • Communicate with clients in a friendly, professional manner that supports positive business relationships.

  • Resolve routine billing and payment questions efficiently.

  • Maintain accurate documentation of outreach, payment status, and next steps.

  • Help improve the timeliness of outstanding payments.

  • Reduce the administrative burden on senior managers by independently managing routine follow-up activities.

Schedule & Work Environment

This position is expected to require approximately 24 hours per week, working three days onsite at our client's office on North Point Parkway in Alpharetta, Georgia.

The role reports to the Head of Accounting and works closely with the accounting team and senior managers.

There is potential for the position to expand into a full-time opportunity with additional responsibilities. However, candidates seeking a long-term part-time position are equally welcome.
