We have a quick turn around for an Administrative assistant for a 6 month contract for a fill-in role. This is a hybrid role with (Mon/Tues) In the office and (W-F) work from Home. Depending on performance, they might be able to find a position to convert. Worksite will be in Redmond for days going in.
This position is responsible for performing ongoing administrative and secretarial support services of a complex, and often confidential, nature for a senior manager position and/or a group of professionals.
This position performs work that is varied and generally administrative and/or project-oriented. The activities of this position include managing calendars, correspondence, meeting and agenda preparation and other logistical matters, and special projects. It is anticipated that the person holding this position will network extensively with many of the organization's management team and will represent their supervisor in a positive and professional manner.
Job Duties Include:
• Executive Support: General calendaring, scheduling meetings, update reference guides, anticipating exec needs.
• Rhythm of Business: Manage distribution lists, department calendar, managing all-hands meeting.
• FTE / Contractor: Onboarding / Offboarding, entering tickets, tracking status, and expediting service tickets and access requests.
• Meeting Support: Note taking, meeting recaps, draft agendas, preparing and disseminating meeting materials.
• Events: Coordinating on-site events, booking conference rooms, catering.
• Travel: Coordinating both domestic and international, flight tickets, hoteling.
• Asset Management: Sending and receiving equipment like computers, monitors, etc. Working with Service Desk for equipment repairs.
• Budget: Collecting and reconciling Amex expenses in Concur. Support finance team processing SMA purchase orders, invoices, and contract renewals.
• Mission ambassador: Coordinating Providence charity volunteer events.
Other duties as assigned Required Qualifications:
• 2 years of university or college training in English, liberal arts or related subjects; or graduation from a technical program in secretarial or office support services/ or equivalent education/ experience
• 4 years Experience as an administrative assistant or executive assistant, including up to 3 years working directly for a manager or executive.
